Reactivating employee profiles and account access issues

Employees may occasionally face login difficulties due to inactive profiles or account access problems. This guide helps restaurant managers and admins reactivate employee profiles to help them regain access.

Confirm Profile Status with Admins

The fastest way to confirm an employee’s profile status is for an Admin to review it, since Admins have access to all Locations within the account. This allows them to quickly determine whether a profile is active or deactivated.

Managers can also check profiles, but only for employees assigned to the same Location or Department they were connected to before deactivation.

Access the Team tab and select Inactive to view all deactivated profiles. This helps you identify employees eligible for reactivation and ensures you avoid duplicating accounts when restoring team members. Managing Inactive Employees.

Reactivating Profiles

Admins have full access to reactivate employee profiles. Managers with the shared assignments as the target employee can the reactivate them. This involves navigating to the user’s profile and selecting "Reactivate". For employees linked to multiple accounts, acceptance of reactivation invites is necessary to restore full access across companies.

Resolving Email Access

If an employee’s profile is active but they still can’t log in, have them reset their password from the 7shifts login page. They’ll receive an email link to create a new password associated with their existing account.

If employees cannot access their registered email to login or accept invites, there are a few steps you can take to troubleshoot the issue:

Handling Billing or Seasonal Access Restrictions

Account access may be paused due to billing issues or seasonal adjustments. Admins should update payment information in the Billing section of 7shifts to immediately restore access. For ongoing issues, an Admin is the best point of contact to help clarify any billing conflicts and accelerates account reactivation
