How to Reactivate an Inactive Employee

When an employee previously deactivated in 7shifts needs to return to work, their employee profile can be reactivated. Reactivating an employee ensures they regain access to their 7shifts account and can be scheduled for shifts immediately.


Things to know

  • Managers and Assistant Managers require the "Can add employees" permission to reactivate profiles.
  • Managers and Assistant Managers can only view inactive employees who were assigned to the same locations and departments.
  • If a Manager or Assistant Manager cannot see an employee in the inactive list, the Admin must reactivate that employee profile.
  • The ability to reactivate an employee profile depends on the user's level of hierarchy.
  • Employees can only be reactivated via the web app at this time. 
  • Employees with multiple 7shifts accounts associated with the same email must accept a reactivation invite for each account.

Reactivate an employee

⚠️ Important: If an employee was deactivated while listed as an Admin, only the Account Owner can complete the reactivation.

Follow these steps to reactivate an employee previously deactivated in 7shifts.

  1. Log in to 7shifts web app as an Admin or a Manager with appropriate permissions.
  2. In the left navigation bar, go to Team > Inactive.
  3. Locate the employee profile you want to reactivate using the sort or filter tools.
  4. Select the More options icon next to the employee name and click Reactivate:
  5. Alternatively, click on the inactive employee name to expand their details and select the reactivation option:
  6. Confirm the reactivation by clicking Reactivate in the confirmation window.

Tip: Not seeing the option to reactivate a user? This usually means the user was deactivated while listed as an Admin. In this case, only the Account Owner can complete the reactivation.


Employees linked to multiple 7shifts accounts

If a reactivated employee has multiple 7shifts accounts associated with their email, the employee must confirm the reactivation via email before the profile becomes active.

  • 7shifts sends a confirmation email to the address listed on the employee profile immediately after you click reactivate:
  • Employees who have not yet confirmed the request will display a yellow "reactivation pending" icon in the Inactive employee list:
  • The employee profile remains on the Inactive list until the employee clicks the confirmation link in the email:
  • Once confirmed, the employee profile automatically moves to the active Employees list.
  • 7shifts sends an email notification to the person who initiated the reactivation once the employee confirms.
  • You can cancel a pending request by selecting the More options icon and clicking Cancel reactivation.

Why an employee returns to inactive status after reactivation

If a reactivated employee immediately returns to inactive status and you use a POS integration, a mapping conflict is the likely cause.

  1. Verify that the employee is marked as active in the POS system.
  2. In 7shifts, go to Apps & Integrations > Mapping.
  3. Check the Ignored tab to ensure the employee is not listed.
  4. If the employee is ignored, click the More options icon and select Unignore.
  5. Navigate to the Unmapped tab and link the employee to their corresponding 7shifts profile to prevent the sync from deactivating them.
