How to Reactivate an Inactive Employee

When an Employee previously deactivated in 7shifts needs to return to work, their Employee profile can be reactivated. After reactivation, the Employee profile becomes active immediately so you can schedule them right away. The Employee will also receive an invite email that they must accept to regain access to their 7shifts account.

Things to know


Important: Managers and Assistant Managers require the "Can add employees" permission to reactivate profiles.

  • Managers and Assistant Managers can only view inactive Employees who were assigned to the same locations and departments.
  • If a Manager or Assistant Manager cannot see an Employee in the inactive list, the Admin must reactivate that Employee profile.
  • The ability to reactivate an Employee profile depends on the user's level of hierarchy.
  • Employees can only be reactivated via the web app at this time.
  • All reactivated Employees receive a new invite email and must accept it to regain access to 7shifts.

Reactivate an employee


Note: If an Employee was deactivated while listed as an Admin, only the Account Owner can complete the reactivation.

Follow these steps to reactivate an Employee previously deactivated in 7shifts.

  1. Log in to 7shifts web app as an Admin or a Manager with appropriate permissions.
  2. In the left navigation bar, go to Team > View Employees > Inactive Employees tab.

  3. Locate the Employee profile you want to reactivate using the sort or filter tools.
  4. Select the More options icon next to the Employee name and click Reactivate:
  5. Alternatively, click on the inactive Employee name to expand their details and select the reactivation option:
  6. Confirm the reactivation by clicking Reactivate in the confirmation window. If you want the Employee to regain access to their account, ensure the Invite employee to 7shifts checkbox is selected so they can receive a new invite email. 

Tip: Not seeing the option to reactivate a user? This usually means the user was deactivated while listed as an Admin. In this case, only the Account Owner can complete the reactivation.

What happens after reactivation


Once you click Reactivate, the Employee profile moves to the active Employees list immediately, so you can add them to the schedule right away. At the same time, 7shifts sends a new invite email to the email address listed on the Employee profile.

  • 7shifts sends an invite email to the Employee immediately after you click Reactivate
  • The Employee must accept the invite by clicking the Join your team link in the invite email to regain access to their 7shifts account:

  • Employees who have not yet accepted the email will display a yellow "Invite pending" icon in the Employees list and on the Schedule:
  • You can view Employees by invitation status (i.e., pending, required) by using the filter options on the Team page.

  • Once the Employee has accepted their invite, they will regain full access to their 7shifts account. 
  • To cancel a reactivation, you can simply deactivate the user again by clicking the More options icon next to the Employee name in your Active Employees list and select Deactivate employee. 

Note: If an Employee's invitation expires before they accept it, and you are a Manager in their department with the "Can Edit Employees" permission, you will automatically receive an in-app notification in your Notification Center. You can click this notification to go directly to the Employee's profile and resend the invitation.

Why an employee returns to inactive status after reactivation


If a reactivated Employee immediately returns to inactive status and displays a deactivation reason of 'deactivated on POS', this usually happens if the Employee is still marked as inactive in your POS system or there is a mapping conflict.

  1. Verify that the Employee is marked as active in the POS system.
  2. In 7shifts, go to Integrations > Mapping.
  3. Check the Ignored tab to ensure the Employee is not listed.
  4. If the Employee is ignored, click the More options icon and select Unignore.
  5. Navigate to the Unmapped tab and link the Employee to their corresponding 7shifts profile to prevent the sync from deactivating them.
