Who's Working Dashboard Overview

As an Admin, Manager, or Assistant Manager, monitor daily operations and employee schedules using the 7shifts' Who’s Working dashboard.

The web dashboard provides an overview of your team’s schedule, with options to quickly edit shifts, view department-specific schedules, and print a daily roster.

On the mobile dashboard, you get real-time insights into who's currently working, who's on break, who's late, and see punch data synced from your POS.

Use the tabs to change your viewing preferences through the mobile or web app:

On the mobile Dashboard easily monitor their daily shift roster and employee time punches in real time from their mobile devices.

Here’s a review of the Who’s Working sections and time clocking options on the manager mobile app. You can view punches and employee-related labor data from the 'Overview' tab or the 'Who’s Working' tab.

Accounts using a POS integration for labor data:

  • Can view who's scheduled to work, who's currently punched in, employees who are late for their shift and who's punched out.
  • ⚠️ Accounts syncing punch data from a POS (with 3rd Party Punches disabled) must make punch edits in the POS unless 3rd Party Punch Edit setting is enabled.
  • Please note that punch sync times vary by POS, so it may take your dashboard some time to reflect up-to-date punch data.

Accounts using 7punches for labor data:

  • Can view who's scheduled to work, who's currently punched in, employees on break, employees who are late for their shift and who's punched out.
  • Can edit/delete punches directly from the 7shifts mobile app.
  • Punches recorded in 7punches will always sync to the dashboard in real-time, so punch data should always be up-to-date.
⚠️ Prerequisites
⚠️ Managers and Assistant Managers require the Can manage schedules permission enabled to view the Who's Working Dashboard for their assigned Locations and Departments.

⚠️ Manager and Assistant Manager users require the Can manage time punches permission enabled to edit/delete/add punches for their assigned Locations and Departments.

⚠️ By default, Admin/Manager/Assistant Manager user types have full access to the 7punches Punch Pad. This includes launching the 7punches app and punching in/out to manage their own time.

⚠️ Depending on your POS integration, some of the below features may not be accessible.

⚠️This feature is not supported with Heartland Restaurant, Lightspeed, and Upserve POS at this time.

Overview: Who's Working

Upon logging in, you will be brought to the Overview Dashboard by default, or you can tap on the 7shifts logo on the bottom menu. Directly below the Sales vs. Labor dashboard, you will see the Who's Working section, which shows the mobile shift roster for the day.
Here, you can view who is scheduled along with open and closed punch data.
    1. Depending on the features enabled for the Account, this area includes views by punch status, employee names, punch details, breaks, shift details, overtime warnings, and shift flags.



    2. Change your Who's working view to see (select the down arrows beside each view to learn more!):
All: all scheduled employees for the day.
     
  • This view shows all scheduled employees for the day in chronological order, along with their shift details and punch activity.
  • Click on an upcoming shift to expand more details, edit/delete the shift, change the shift flag or Find Cover.

In: employees who are currently punched in.
     
  • This view shows all employees who are currently punched in along with their shift details, punch activity, shift flags and overtime warnings (if applicable).
  • Click on a shift to open the Time Card. Click the More options icon to edit or delete the punch.
  • ⚠️ Accounts syncing punch data from a POS (with 3rd Party Punches disabled) must make edits in the POS.

Not clocked in: employees who have not yet punched in. 
     
  • This view shows all of the scheduled employees who have not yet punched in along with their shift details, highlighting both Upcoming shifts and Overdue punches
  • Click on an overdue punch to add a punch, contact the employee, or view shift details.
  • Click on an upcoming shift to expand more details, edit/delete the shift, change the shift flag or Find Cover.

    ⚠️ Please note that a shift will be tagged as 'No Scheduled Shift' if the employee had punched in more than 30 minutes before/after their shift was scheduled to start.

    If you would like an employee to punch in more than 30 minutes before their scheduled shift, an Admin or Manager should manually clock the Employee in through the Time Clocking section to avoid the 'No Scheduled Shift' flag.

Who's Working: Daily Roster Chart

On the Mobile Dashboard, navigating to the 'Who's Working' tab provides Admin, Manager, and Assistant Manager users with a visual overview of the daily schedule.

       
    1. Shift flags will be visible on scheduled shifts (if applicable):


      ⚠️ Please note that a shift will be tagged as 'No Scheduled Shift' if the employee had punched in more than 30 minutes before/after their shift was scheduled to start.

      If you would like an employee to punch in more than 30 minutes before their scheduled shift, an Admin or Manager should manually clock the Employee in through the Time Clocking section to avoid the 'No Scheduled Shift' flag.

    2. Click on an individual shift to expand more details, edit/delete the shift, change the shift flag or Find Cover.
