Mobile Time Clocking for Admins & Managers

7shifts' Mobile Time Clocking makes it easy for Admins, Managers, and Assistant Managers to monitor and manage their employee time punches in real time right from their mobile devices.

Here's a review of Time Clocking and the Who's Working sections on the mobile app. You'll be able to see punches and employee-related labor data from the Overview tab, or the Who's Working tab.

Accounts using a POS integration for labor data:

  • Will only be able to view who's currently punched in or late for their shift.
  • Please note that sync times vary by POS.

Accounts using 7punches for labor data can:

  • View who is currently punched in, on a break, or late for their shift.
  • Edit/delete punches directly from the 7shifts mobile app.
⚠️ Prerequisites
⚠️ Managers and Assistant Managers require the Can manage schedules permission enabled to view Time Clocking for their assigned Locations and Departments.

⚠️ Managers and Assistant Managers require the Can manage time punches permission enabled to edit/delete/add punches for their assigned Locations and Departments.

⚠️ By default, Admins/Managers/Assistant Managers user types have full access to the 7punches Punch Pad. This includes launching the 7punches app and punching in/out to manage their own time

⚠️ Depending on your POS integration, some of the below features may not be accessible.

⚠️This feature is not supported with Heartland Restaurant, Lightspeed, and Upserve POS at this time.

Dashboard - Overview (Coming Soon!)

The Dashboard Who's Working section is getting a new look! This new experience was developed to improve visibility, increase efficiency, and make additional features more easily accessible. In the coming weeks, this experience will be slowly rolling out to our users. Click here for the original experience.

Upon logging in, you will be brought to the Overview Dashboard by default, or tap on the 7shifts logo on the bottom menu, Directly below the Sales vs. Labor dashboard, you will see real-time punches per Location for the day.  

    1. Depending on the features enabled for the Account, this includes views by punch status, employee names, punch details, breaks, shift details, overtime warnings, and shift flags.



    2. Use the filtering options to narrow down your results:

      ⚠️ Filtering by Department is only available if Department-Based Budgeting is enabled.

    3. Change your Who's working view to see:

All: employees that are scheduled to work.
     
  • By default, the Dashboard will show the All view.
  • Click on a shift to expand more details. Click the More options icon to edit or delete the punch.
  • Accounts syncing punch data from a POS (with 3rd Party Punches disabled) must make edits in the POS.

In: employees that are punched in.
     
  • Click on a shift to expand more details. Click the More options icon to edit or delete the punch.
  • Accounts syncing punch data from a POS (with 3rd Party Punches disabled) must make edits in the POS.

Not clocked in: employees that are late/have overdue punch.
     
  • Click on a shift to expand more details. Click the More options icon to add a punch, contact the employee, or view shift details.
  • Upcoming shifts can find cover, edit shifts, change shift flag, or delete shift.
  • ⚠️ Please note that a shift will be tagged as 'No Scheduled Shift' if the employee had punched in more than 30 minutes before/after their shift was scheduled to start.

    If you would like an employee to punch in more than 30 minutes before their scheduled shift, an Admin or Manager should manually clock the Employee in through the Time Clocking section to avoid the 'No Scheduled Shift' flag.

Dashboard - Who's Working

The Dashboard Time Clocking Who's Working appears on the Mobile Manager Dashboard, under the Who's Working tab. Here, you can see:

    1. Employees that are currently punched in:

      ⚠️ Please note that a shift will be tagged as 'No Scheduled Shift' if the employee had punched in more than 30 minutes before/after their shift was scheduled to start.

      If you would like an employee to punch in more than 30 minutes before their scheduled shift, an Admin or Manager should manually clock the Employee in through the Time Clocking section to avoid the 'No Scheduled Shift' flag.

Managing Time Punches (7punches only)

In the Time Clocking section, 7punches users can view, edit, and approve time punches directly from the 7shifts mobile app, similar to how they can manage timesheets on the 7shifts web app

⚠️ The Time Clocking page will only be visible to users with 7punches.

⚠️ For Accounts integrated with a supported POS integration, editing punches is available with 3rd Party Punches. Otherwise, please make punch edits directly in your POS.

⚠️ Managers and Assistant Managers will need the Manager permission 'Can manage time punches' enabled.
       
    1. In the bottom navigation bar, select the More menu icon.
    2.  
    3.  Select Time Clocking to view employee punches.

    4. Choose to view either Unapproved or Approved punches.

    5. You can tap on the Location pin to change Locations and tap the + icon to add a new punch.

    6. Tap on a punch to view the Employee's Timecard in more detail. You can view the full details of the punch, including: 
              • The Location, Department, and Role
              • In and out times
              • Breaks taken (if applicable)
              • Tips (if applicable)
              • Manager Notes

    7.  Tap the More options icon in the top right corner to edit, delete the punch, or approve if it's an unapproved punch.

    8. While editing a punch you can update:
              • Department
              • Role
              • Date
              • Clock in and out times
              • Tips
              • Breaks 
              • Manager Notes

    9. Be sure to tap Save to complete these changes.
