Who's Working Dashboard Overview
Admins, Managers, and Assistant Managers use the 7shifts Who's working dashboard to monitor daily operations and employee schedules. The web dashboard provides an overview of your team’s schedule with options to edit shifts, view department-specific schedules, and print daily rosters. The mobile dashboard provides real-time insights into who is currently working, who is on break, and who is late based on 7punches or synced POS data.
Note: This article depicts the latest version of the 7shifts mobile app. This update is currently being rolled out and will be available to all users soon.
Things to know
Important: Managers and Assistant Managers require the "Can Manage Schedules" to view the mobile Dashboard Overview and "Can Manage Time Punches" permissions to manage punches.
- Managers and Assistant Managers will only see data for the Locations and Departments they are assigned.
- By default, Admin, Manager, and Assistant Manager user types have full access to the 7punches Punch Pad to manage their own time.
- Depending on your POS integration, some of the below features may not be accessible.
- The Who's working dashboard is not supported for Heartland Restaurant, Lightspeed POS, or Upserve POS integrations.
Dashboard Overview
The Dashboard Overview allows you to easily manage pending employee requests, view a snapshot of who’s working, and monitor your sales vs. labor graph
Upon logging into the mobile app, Admins, Managers, and Assistant Managers (with the necessary permissions) are directed to the Dashboard Overview by default, or can access it by tapping the Home button on the bottom menu.
The Who’s working blocks serve as live indicators for your team, allowing you to quickly see the number of employees who are currently On, on Break, Overdue, Upcoming, or Out. Tap any block to access the detailed Who’s working page for more information.
- Can view who's scheduled to work, who's currently punched in, employees who are late for their shift and who's punched out.
- Accounts syncing punch data from a POS (with 3rd Party Punches disabled) must make punch edits in the POS unless 3rd Party Punch Edit setting is enabled.
- Please note that punch sync times vary by POS, so it may take your dashboard some time to reflect up-to-date punch data.
- Can view who's scheduled to work, who's currently punched in, employees on break, employees who are late for their shift and who's punched out.
- Can edit/delete punches directly from the 7shifts mobile app.
- Punches recorded in 7punches will always sync to the dashboard in real-time, so punch data should always be up-to-date.
When logging into the 7shifts web app, Admins, Managers, and Assistant Managers can access the Who’s Working? tab for a real-time snapshot of the daily schedule. From this view, you can filter by Department, print rosters, or click the Pencil icon to make schedule edits.
From the dashboard, you can:
- View by Department: Filter by department or see all departments under a single location.
- Today’s Schedule: Click the Today button for an instant view of who’s on shift.
- Edit Schedules: Need to make changes? Clicking the Pencil icon will take you directly to the scheduling page for fast edits.
- Print: Print a physical copy of the daily roster by clicking the Printer icon
Hover over any shift to reveal:
- Employee names and phone numbers
- Shift start and end times
- Shift notes
- Roles and stations assigned to each employee (if stations are enabled)
Mobile Who's working - Roster
On the mobile Overview, you will find the Who’s working blocks. These blocks provide a live snapshot of your daily operations, showing the current numbers for employees who are On, Overdue, Upcoming, Out or on Break.
Viewing the Who's working - Roster will require the account to have a labor integration or time clocking active.
Tapping any of these blocks serves as a shortcut, taking you directly to the full Roster with the corresponding filter applied.
- Depending on the features enabled for the Account, this area includes views by punch status, employee names, punch details, breaks, shift details, and overtime warnings.
Click through the filters to see employees who are On, on Break, Overdue, Upcoming, or Out. (select the down arrows beside each view to learn more!):
- This view shows all scheduled employees for the day in chronological order, along with their shift details and punch activity.
- Click on an upcoming shift to expand more details, edit/delete the shift, change the shift flag or Find Cover.
- This view shows all employees who are currently punched in along with their shift details, punch activity, shift flags and overtime warnings (if applicable).
- Click on a shift to open the Time Card. Click the More options icon to edit or delete the punch.
- Accounts syncing punch data from a POS (with 3rd Party Punches disabled) must make edits in the POS.
- This view shows all the scheduled employees who are currently on break along with their shift details (shown only if there is at least 1 break).
- This view requires the use of 7punches.
- This view shows all the scheduled employees who have punches that are Overdue (late punches, no shows, etc.).

Click on an overdue punch to add a punch, contact the employee, or view shift details.
⚠️ Please note that a shift will be tagged as 'No Scheduled Shift' if the employee had punched in more than 30 minutes before/after their shift was scheduled to start.
If you would like an employee to punch in more than 30 minutes before their scheduled shift, an Admin or Manager should manually clock the Employee in through the Time Clocking section to avoid the 'No Scheduled Shift' flag.

On the web app, the roster view is integrated into the Dashboard tab. Hovering over any employee shift reveals their phone number, shift start and end times, shift notes, and assigned stations.
Mobile Who's working - Schedule
The mobile Who's working Schedule provides a visual overview of the scheduled shifts for the day. On the mobile app, tap the Who's working blocks from the Overview page and select the Schedule tab.
Note: Open shifts are only visible on mobile in the Who's working - Schedule view.
