Attestation Management
7shifts attestation lets you create questions your team answers when they clock out on 7punches, so you can build a meaningful compliance record for meal breaks, rest breaks, or anything else you need to track. Attestation is available in every jurisdiction, not only California. Answer Attestation questions using 7punches explains how employees answer each question.
Important: If your account uses a California labor jurisdiction and already uses attestation, it moves to the new Attestation Management feature automatically, with no setup needed. Your historical records stay available in the new Attestation report and existing Labor Exception report, and Meal break attestation remains enabled with your existing question(s).
Things to know
Important: Only Admins can enable attestation and create, edit, or delete attestation questions.
- Break attestations and custom attestation questions are advanced features that may require an upgrade from your current plan. Check your account's Plans page to see what is included with your subscription.
- The attestation feature requires the use of 7punches.
- Employees need the latest version of 7punches to answer attestation questions. Update to the latest version of 7punches for iOS or 7punches for Android so responses don't show as blank.
- While standard meal and rest break prompts are included by default, eligible plans can add up to two custom questions, for a total of four attestations.
- Admins, and Managers with the "Can view reports" permission, can view the Attestation report.
- Attestation responses are recorded when the employee completes punch-out and can't be edited or added afterward.
- Each question can have up to three response options. At least one Affirmative and one Negative response is required.
Enable attestation in Labor & Compliance settings
- Log in to the web app as an Admin.
- In the left navigation bar, select Settings > Company Settings.
- Select Labor & Compliance.
-
In the Attestation section, check the box next to Attestation.
- Click Save.
Tip: You can set up attestation at the location level by going to Settings > Locations, Departments, & Roles > selecting the location > Labor & Compliance > Attestation.
Create a custom attestation question
Custom attestation questions capture compliance details beyond meal and rest breaks, such as asking employees to confirm completion of a daily close out checklist. Depending on your plan type, you can create up to two custom questions.
Note: If your account uses a California jurisdiction, custom attestation questions don't affect Automatically dismiss waived meal breaks. See California Labor Compliance - More tools for how that setting works.
-
From the Attestation section, click + Create attestation question.
- Enter an Attestation name. Employees don't see the attestation name. It identifies the question in the Attestation report.
- Enter the Question your team will answer.
- Under Responses, enter your Affirmative and Negative response copy. Click + Add response if you want to offer a third option.
- (Optional) Check Ask follow up question on negative response, then enter your follow-up question. Employees must answer it before they can submit a negative response.
- (Optional) Check Notify manager on negative response so managers assigned to the employee's department are notified when someone answers negatively.
- Click Create attestation.
What affirmative and negative responses mean
An affirmative response means the employee confirmed the requirement was met, such as taking their meal break. A negative response means the requirement wasn’t met. Each attestation question needs at least one affirmative response and one negative response. A negative response can also trigger a follow-up question and a manager notification.
Edit an attestation question
Admins can edit all attestation questions, including Meal break, Rest break, and custom questions.
- Log in to the web app as an Admin.
- Select Settings > Company Settings > Labor & Compliance. For location-level attestation, open that location's Labor & Compliance settings instead.
-
In the Attestation section, click the pencil icon next to the question you want to edit.
- Update the Question or Responses as needed. For a custom question, you can also update the Attestation name.
- (Optional) Click and drag the responses to change the order employees see them at punch-out.
- (Optional) Check or clear Ask follow up question on negative response, then update the follow-up question.
- (Optional) Check or clear Notify manager on negative response.
- (Optional) For Meal break or Rest break, enter your policy URL in the Meal break policy link or Rest break policy link field. Custom attestation questions don't support a policy link.
- (Optional) Select the Spanish or French tab to update translations.
- Click Save.
Note: Editing a question creates a new version. Your changes apply to future punches, and past responses keep the original wording in the Attestation report.
More ways to customize attestation questions
You can add Spanish and French translations for a question and its responses. Employees see the translations when they choose their preferred language from the dropdown on the 7punches punch-out screen.
- From the Create attestation or Edit attestation window, select the Spanish or French tab.
- Check Include and customize Spanish translations for question and responses (or the French equivalent).
-
Enter your translations into the fields provided. The original question and responses appear directly below each field for reference.
- Click Create attestation or Save.
Note: If you don't add a translation, employees see the English version.
Meal break and Rest break questions can link to your company's break policy. Employees see the link on the 7punches punch-out screen and can open it in their browser. If you don't add a link, nothing appears. Custom attestation questions don't support a policy link.
- In the Attestation section, click the pencil icon next to Meal break or Rest break.
- Enter your policy URL in the Meal break policy link or Rest break policy link field.
- Click Save.
The policy link appears like this on the punch-out screen.
Important: Enter a full URL starting with https://. An invalid URL shows an error.
Meal break and Rest break can be disabled but not deleted. Custom attestation questions can be disabled or deleted.
Follow these steps to disable an attestation question.
- In the Attestation section, uncheck the box next to the question you want to disable.
- Click Save.
Follow these steps to delete a custom attestation question.
- In the Attestation section, click the trash can icon next to the custom question.
- Click Save.
Note: Disabling or deleting a question removes it from future punches. Past responses and the original question stay in your Attestation report for your records. To use a disabled question again, check its box and click Save.
Manager notifications for negative attestation responses
Managers who are assigned to the same department as the employee receive a notification when the employee submits a negative attestation response. Notifications are sent only for questions that have Notify manager on negative response checked. Managers see the notification in the 7shifts notification center and as a push notification, and it names the attestation question that triggered it.
On the web app, clicking the notification opens the Attestation report so the manager can review the response. On mobile, tapping the notification opens the 7shifts app home page.
If no manager is assigned to the employee's department, no one is notified. Managers can still review the response in the Attestation report.
To stop receiving these notifications, turn off the Attestation toggle in your notification settings. For steps, see Notifications for Admins & Managers.
The in-app notification looks like this.
The push notification looks like this.
