How schedule visibility works in 7shifts
In 7shifts, employee schedule visibility is determined by location assignments, department assignments, and the publication status of the schedule.
Things To Know
- Employees can view all published shifts for the locations and departments they are assigned to, including shifts worked by managers.
- Roles (e.g., Server, Bartender) are used for labor tracking and scheduling but do not control schedule visibility.
- The visibility of shifts is strictly based on whether the schedule is published and where the viewer is assigned.

Factors Influencing Schedule Visibility
An employee can see another person's shift only when all of the following conditions are met:

Location and Department Assignments
You can only view schedules for the specific locations and departments you are assigned to. If you and another team member share an assignment, their shifts are visible to you. -
Published Schedule Status
Only published schedules are visible. Draft or unpublished shifts remain hidden from employees until the schedule is officially published. -
Appear on Schedule Settings
If the Appear on schedule setting is disabled for an individual, their shifts are hidden from the rest of the team. Hiding someone from the schedule affects others' visibility only, not their own access to view the schedule.
Manage Employee Visibility
In short, if a manager and an employee share the same location and department—and the schedule is published—they’ll be able to see each other on the schedule, unless someone is hidden using the Appear on schedule setting.
Admins and Managers can adjust visibility settings within an employee profile to hide or show them within a department.
- Disabling Appear on schedule hides an employee's shifts from others but does not prevent that employee from viewing the schedule themselves.
- Admins have additional profile options to show or hide their own shifts across all schedules.
Tip: Review location and department settings within the employee profile if visibility does not appear as expected. If something doesn’t look right, reach out to your direct manager or Admin to have them review and update these settings for you.
