Add Shifts to a Schedule
Creating and managing shifts in 7shifts is now more seamless and efficient than ever! The Schedule page serves as your central hub for organizing your team's shifts. Whether you're scheduling for a small team or managing multiple departments, this page allows you to easily build and customize schedules to suit your team's specific needs.
Things To Know
Important: Managers or Assistant Managers require "Can manage schedules" permission.
- Users can only access schedules for the Locations and Departments they are assigned to.
- 7shifts requires a complete Account Structure, staff list, and company labor rules to be set up before shifts can be added.
- Custom Time or Time Frame options will only appear if they have been set up in 7shifts by an Admin.
Add Shifts to the Schedule
Use the tabs below to change your viewing preferences through the mobile or web app.
- Log in to the mobile app and click on the calendar icon on the bottom navigation bar.
- Select the + at the top of the page (or click Create new shift on the corresponding day):
- Enter shift information regarding where, when, and who this shift belongs to.
- Choose the specific department and role for the shift.
- Select how the shift ends in the End Criteria fiel, such as until business declines or a specific closing time based on scheduling hours:
- Select a team member. 7shifts will indicate who is available and identify any minors:
- Tap Create Shift when you are ready.
Tip: Shifts in draft mode appear yellow. You must publish them before they are live for the Employee.
- Log into the 7shifts web app and head to the Schedule page in the left navigation bar.
- Refine your view using Filters (for date/location), Layouts, Sorting , or Views (for time periods):
- Click on an empty cell within the time frame or day of the week you'd like to create a shift.
- Enter the shift details, including the Employee, Role, Start/End times, Break(s), and any Shift Notes.
- Set the shift to repeat on specific days of the week if necessary:
- To reposition the shift modal, click and hold anywhere on the window and drag it to your desired location.
- To copy and paste, hold down the Shift key on your keyboard to drag and drop duplicate shifts.
- At this stage of scheduling, all shifts in draft mode will appear in light yellow. These shifts are not visible to employees until the schedule is published. Any changes you make will be auto-saved as a draft until you're ready to publish the schedule.
Note: Faded or greyed-out shifts indicate the employee is scheduled in a different Department or Location. These can only be edited when viewing the specific area where they were created:

Once your shifts are in draft mode (yellow), you must publish the schedule to notify your employees and make the changes official.
