Customizing Onboarding Packages: Documents and Policies

This article explains how to add custom documents and policies to your employee onboarding packages in 7shifts. This ensures new hires have all necessary information, like handbooks, agreements, or safety protocols, from day one.


Who can use this feature?

  • Admins have full access. 
  • Managers & Assistant Managers can use it for their assigned location(s), if they have the following permissions enabled: 
    • 'Can add employees' 
    • 'Can edit employees'
    • 'Can manage employee documents'
    • 'Can send and approve onboarding forms'
    • 'Can view wages'

Account Requirements

Important Notes 

  • Uploaded custom documents are only included in future onboarding packages. They are not sent to employees who have already received an onboarding package through 7shifts. 
  • Support file types: PDF, JPEG, PNG.
  • Maximum file size: 500MB per file.

How to Upload Custom Documents

Follow these steps to upload custom documents for an onboarding package:

  1. Log in to the 7shifts web app as an Admin or Manager/Assistant Manager with permissions.
  2. In the left navigation bar, select Team >  Onboarding. 
  3. Go to the Onboarding package tab.
  4. Review the Default Documents: The default documents are listed. You can enable or disable them using the Screen_Shot_2022-11-21_at_4.44.38_PM.png toggles. 
  5. To add a document, click the +Add document button.
  6. Give your document a unique name and upload the file.  
    • The supported file types are: PDF, JPEG, and PNG.
    • The maximum size for each file is 500MB.
  7. Click Save. Your document will now be included in future onboarding packages.


What Employees See 

Employees will need to download the file, acknowledge it, and add an e-signature to confirm thay have reviewed, understood, and accepted the document's terms.

Managing Onboarding Documents:

  • Disable a Document: To stop sending a document in onboarding packages, toggle Include in package off.
  • Preview a Document: Click the More options icon  Screen_Shot_2022-12-01_at_5.26.25_PM.png  > View document.
  • Delete a Document: Click on the More options icon  Screen_Shot_2022-12-01_at_5.26.25_PM.png  > select Delete. 
     

    ⚠️Warning: Deleting a document is permanent and cannot be undone. Previously sent packages containing the document will still be accessible.
