Review an Onboarding Package

After an employee completes the forms in their onboarding package, 7shifts automatically emails the Admins and Managers at that location. You can also open the Onboarding dashboard at any time to review and approve those forms, or check which forms employees still need to complete.

Things to know


  • Access to this feature may require an upgrade from your current 7shifts plan.
  • Employee Onboarding is available to accounts in the United States, except for accounts located in Puerto Rico.
  • The account's country must be set to the United States of America under Company Settings.
  • The account must have an address within the United States under Location Settings.
  • Admins have full access to Employee Onboarding. Managers and Assistant Managers can only use Employee Onboarding for the locations assigned to them in the account.
  • Managers and Assistant Managers also need the following Manager Permissions: "Can add employees," "Can edit employees," "Can manage employee documents," "Can send and approve onboarding forms," and "Can view wages."

Find and review onboarding packages 


  1. In the left navigation bar, go to Team > Employees.
  2. Click the Onboarding tab to see the progress of every onboarding package.
  3. Sort the list of employees by name to find a specific package.
  4. Click Review, to open an employee's onboarding package.

7shifts Payroll  Onboarding dashboard


7shifts Payroll accounts see additional filters at the top of the employee list in the Onboarding dashboard. These tools help Admins and Managers manage onboarding across a large team or multiple business entities, and only appear on 7shifts Payroll accounts.

  • The Search employees field finds a specific employee by name.
  • The Business entity filter narrows the list to employees in one business entity or EIN.
  • The Status filter narrows the list to packages that are Outstanding documents, Needs review, or Ready to close.
  • The status and actions column shows each package's status next to the employee's name, using the same three states as the status filter, so you know what to do next without opening the package.
  • Clicking anywhere on an employee's row, including their name, opens their onboarding package.

The status filter and status and actions column both use the following package-level statuses:

  • A package shows Outstanding documents when the employee still has forms left to complete.
  • A package shows Needs review when every form is submitted and ready for your approval.
  • A package shows Ready to close when every form is approved and the package is ready to close.

These package-level statuses are different from the status shown on each individual document inside a package, covered next.

What each onboarding document status means


Each document in an employee's onboarding package shows its own status that tells you what to do next.

  • Company documents aren't clickable in the list.
  • You can only click a tax form when it shows the Needs manager review status.
Status Description
Incomplete Employee has not submitted the form
Needs manager review Employee has submitted the form and it is ready for manager approval and/or requires the employer to complete a section
Needs resubmission The document requires correction. The Employee will need to log into their profile, update the details and resubmit it for management review.
Completed Form has been approved by a manager. If it is a tax form, the PDF has been made and saved to the employee under Profile > Documents

List of onboarding documents with their statuses

Review and approve I-9 forms


For I-9 forms, employees complete Section 1 during their onboarding package. Once submitted, Admins or Managers with the right permissions must review and complete Section 2 directly in 7shifts.

  1. Open the I-9 form from the list of documents with the status Needs manager review.
  2. Review the employee's identity and employment authorization documents (List A, or List B and List C).
  3. Fill out every required field. A field is only optional if it says so next to it.
  4. Confirm the employee's first day of employment.
  5. Enter your name and title, then sign the form.
  6. Click Approve to complete Section 2. 7shifts automatically generates a completed PDF and saves it to the employee's profile under Profile > Documents.

Important: Employee Onboarding doesn't save your progress automatically. Don't close or navigate away from the page while completing Section 2 of an I-9 form.

Approve other onboarding documents


Most onboarding documents don't need field-level entry. Scroll through the document, confirm the details are correct, then approve it.

  1. Scroll down to review the document's details.
  2. Click Approve at the bottom of the page.

Find approved onboarding documents


Every approved document is stored under the Documents tab of the employee's profile. Open any document from here to view or print it. To print a document, right-click the page, select Print, then save it as a PDF. 

The Documents tab also keeps a record of every form an employee has signed and acknowledged, so you can review it anytime. Once every document shows Completed, the employee is fully onboarded.
