How to Update Employee Wages and Salaries

In 7shifts, Admins, Managers and Assistant Managers can update employee wages and salaries for both past and future dates.

Remember, employee wages and salaries are included in the Labor Budget Tool when they have Appear on Schedule enabled within their employee profiles.


Prerequisites

⚠️ Managers and Assistant Managers require permissions: 'Can edit employees', and 'Can view wages'.

⚠️The Effective Wage Date option is not available if Wage Sync is enabled with your POS integration.

⚠️ Updating the minimum wage within Company Settings does not automatically adjust employee wages.

Pro Tip! If you need to update wages for multiple employees at once, you can use the Bulk Wage Edit tool.


Set a Wage or Salary Change for a Future Date

If an employee’s pay is changing at a future date, you can schedule the update in advance.

  1. From the 7shifts web app, navigate to Team.
  2. Select the employee's profile.
  3. Click on the Wages and Payments tab.
  4. Select Change Pay.
  5. Enter the new amount and select the effective date.

    If you're only updating the effective date, you will need to re-enter the wage.

  6. Click Save.

On the selected effective date, any new shifts created for the employee will reflect the updated rate.

Tip: To cancel a scheduled wage change before it takes effect, go to the Activity section, click the three dots next to the change, and select 'Delete upcoming wage change.'

Set a Wage or Salary Change in the Past

If you forgot to update an employee’s wage or need to apply it retroactively (up to 30 days), you can use the Effective Wage Date feature.

⚠️ Note: Changes will not affect third-party data or payroll that has already been processed.
  1. Go to Team from the left navigation bar.
  2. Select the employee's profile.
  3. Click on the Wages & Payment tab.
  4. Select Change Pay. 
  5. Enter the correct amount and the effective date (within the last 30 days).
  6. Click Save.

Then, go to the Schedules or Time Clocking page, or use your 7shifts Reports to confirm the new rate has been applied to past shifts.
