Update Personal Legal and Tax Information
Keeping your legal, tax, and payroll information accurate is essential for correct pay statements and tax reporting in 7shifts Payroll. This includes:
- First and Last Name
- Address (including City, State/Province, and Zip/Postal Code)
- Consent for Paperless W-2 Statements
- Tax Withholding Information (W-4)
Who Can Update Information?
- Employees: Can update their personal legal and address information.
- Admins & Managers: Can update employee legal and address information, subject to permissions.
- W-4 Forms: Employees must complete these forms themselves. Admins/Managers cannot do this on their behalf.
Updating Legal Information
For Admins & Managers
⚠️ Important Considerations:
- Admins can edit all employee information.
- Managers and Assistant Managers with the "Can edit employees" permission can edit employees within their assigned 7shifts locations and departments.
- Consider sharing the employee-specific instructions below with your team to guide them through updating their own information.
Steps to update an employee's legal payroll information (Admin/Manager):
- Log in to the web app.
- Navigate to Team in the left navigation bar.
- Select an employee's name to open their profile.
- Scroll to the Legal and Tax Information section and enter the necessary details.
- Click Save to confirm changes.
For Employees
Updating Personal Legal Information:
- Log in to the 7shifts mobile app.
- Tap your profile icon (top left).
- Select Edit Profile.
- Fill in the Legal and tax information section.
- Tap Save.
- Log in to the 7shifts web app.
- Hover over your profile icon (top right) and select My Account.
- Scroll to the Legal and Tax Information section and enter the details.
- Click Save.
