How to set up and manage Two-Step Verification in 7shifts

7shifts uses Multi-Factor Authentication (MFA), also called Two-Step Verification, to keep your account secure. When 2-Step Verification is enabled, certain actions will require you to confirm your identity with a One-Time Password (OTP) to minimize the risk of unauthorized access. You can set up your account to receive your OTP via Authenticator App, Text Message (SMS), or Email.

Things To Know


Important: Save your recovery codes in a secure location. Recovery codes are your only access option if all verification methods are unavailable.

  • Two -Step Verification is mandatory for all users of 7shifts Pay Products (Tip Payouts and 7shifts Payroll).
  • Users connected to 7shifts Pay Products cannot disable Two-Step Verification.
  • Receiving One-Time Password via Text Message (SMS) is only available in supported countries. See the full list here.
  • Setting up more than one verification method is recommended. A backup method prevents account lockout if your primary method is unavailable.

How to Set Up 2-Step Verification


Mobile 📱 Web 🖥️
  1. Log in to the 7shifts mobile app.
    • If your account is connected to a 7shifts Pay Product, you'll be prompted to set up 2-Step Verification the next time you log in. Follow the setup wizard to complete your configuration.
    • To set it up manually, go to My Account > Login & Security > Two-factor Authentication 
  2. Choose a verification method.
    • Select Authenticator App, Text Message (SMS), or Email and follow the prompts to verify that method.
    • Pay Product Users: Selecting 'Remind me later', will dismiss the prompt and leave you with the remaining time on the 7 day grace period to set up. After the grace period ends, you won't be able to access your account until 2-Step Verification is enabled.
  3. Add a backup method (recommended).
    • Once your first method is set up, adding a backup method is strongly recommended. If your primary method is ever unavailable, a backup keeps you from losing access to your account.
  4. Save your recovery codes.
    • Store recovery codes somewhere secure. You must confirm you've saved them to complete setup.

Choosing Your Verification Method at Log in


If more than one verification method is set up, 7shifts will ask where to send your OTP before each log in. Choose whichever method is most convenient at that moment.

Managing Verification Methods 


Verification methods can be added and updated anytime in your 7shifts account via mobile and web

Mobile 📱 Web 🖥️
  1. Log in to the 7shifts mobile app.
  2. Tap on your profile photo at the top right.
  3. Tap Login & Security and scroll to Two-factor Authentication.
  4. To add a method, tap the method and follow the prompts to set it up.
  5. To remove a method, tap the more menu (â‹®) next to the method and select Remove verification method.

 

Actions That Require 2-Step Verification


2-Step Verification is required for the following actions in 7shifts:

  • Logging in to your 7shifts account.
  • Updating your email address. 
  • Changing your password. 
  • Approving a payroll run.
  • Changing a payment method during payroll processing.
  • Sending or editing Tip Payouts.
  • Unlinking a bank account.

Note: After verifying during a pay action, your session remains verified for a set period of time.

Troubleshooting


I didn't receive an OTP.

SMS

Email

  • Check your spam or junk folder.
  • Confirm the email address on your 7shifts account is one you can access.

Authenticator app

  • Confirm your device's date and time are set to sync automatically. Authenticator apps rely on accurate time to generate valid codes.
  • Wait for the app to generate a fresh code before entering it.

Important: If your authenticator app is behaving unexpectedly and the steps above don't resolve the issue, contact the authenticator app's support team directly (for example, Google Authenticator or Authy). 7shifts support is unable to troubleshoot issues within third-party authenticator apps.

I've lost access to my primary verification method.
  • Use one of your saved recovery codes when prompted for an OTP at login.
  • If a backup method is set up, select that option at the verification screen.
  • Once a new phone number or updated email is available, go to Settings > My Account > General > Login & Security > Edit to update your details.
I've lost access to my verification method(s) and my recovery codes.

Contact the 7shifts support team for help. Identity verification is required before MFA settings can be reset.

Can I disable 2-Step Verification?


Accounts connected to a 7shifts Pay Product cannot disable 2-Step Verification. 2-Step Verification is required to protect payroll data and financial information.
