Yes. You can send multiple onboarding packages to an employee to collect different state tax forms. However, an employee can only have one active onboarding package at a time. The employee must complete the first package before you can send the second one.
Why this happens
7shifts generates tax documents based on the Labor & Compliance settings for the 7shifts account. If an employee works in multiple states, they require tax forms for each state. Because the 7shifts account only allows one active package per employee, you must use a sequential workflow to collect all required documents.
What to do
To avoid duplicate paperwork, the employee only needs to complete federal forms once. Follow these steps to manage the sequence:
- Log in to the 7shifts web app as an Admin.
- In the left navigation bar, head to Settings > Company Settings > Labor Compliance.
- Set the state to the first required work state and select Save.
- Go to Onboarding, locate the employee profile, and send the first onboarding package.
- Wait for the employee to submit the first package before proceeding.
- Return to Settings > Company Settings > Labor Compliance.
- Change the state to the second work state and select Save.
- Navigate back to the Onboarding page and send the second package to the employee.
Tip: You can customize the second onboarding package by navigating to Team > Onboarding > Onboarding package and toggling off default documents, such as the I-9 or W-4. This ensures the employee only receives the second state form.
You can view all completed onboarding documents by navigating to Team > Employee Profile > Documents.
