Can I change my company's legal name or Federal Employer Identification Number (FEIN) in 7shifts Payroll?
Answer
Yes and no. You can request an update to your legal business name at any time. However, you cannot change the EIN associated with an existing 7shifts Payroll account once a payroll run has been submitted.
Important: You must set up a new 7shifts Payroll account if your company obtains a new EIN.
Why this happens
This restriction ensures tax compliance and data integrity with federal and state agencies. Once 7shifts Payroll has submitted tax filings or payments under a specific EIN, those records are tied to that legal entity. When a business obtains a new EIN, the IRS treats it as a new legal entity for tax reporting purposes. This creates a split in reporting where the old EIN reports wages up to the transition date and the new EIN begins reporting from the effective date forward.
What to do
Update your legal business name
Ensure your new legal name is already updated and registered with the IRS and all applicable state agencies. Contact 7shifts Support to request the name change and provide a CP575 or other IRS verification document if requested.
- 7shifts Payroll and Check Technologies assume all information is correct and communicated to the IRS prior to the request to update.
- Employers are fully responsible for any filing issues, amendments, corrections, or penalties incurred due to name updates.
- Mismatches between your EIN and legal business name will block payroll runs until the issue is resolved.
Update your EIN
Contact 7shifts Support for assistance to transition to a new payroll account. A new account is required because tax records cannot be transferred between different EINs once 7shifts Payroll has submitted filings.
