Show or hide a staff member from the schedule (Appear on schedule)

In 7shifts, you can hide a staff member from a Department's schedule while keeping their access to view and edit it. The Appear on schedule setting controls whether a staff member's shifts are visible to other team members.

Things to know


⚠️ Important: Managers and Assistant Managers can edit assignments for employees at the same Location who are a lower user level, and require the "Can edit employees" permission.

  • Hiding a staff member from the schedule doesn't remove their access. They can still view and edit schedules for all Locations and Departments they're assigned to.
  • Admins can hide themselves from schedules.
  • If you change an employee's Appear on schedule setting after a salary has been entered, the update only retroactively adjusts how their salary is distributed on the Schedule page and the Labor Budget Tool. 
  • To increase a user's involvement, assign them to additional Locations and Departments beyond their regular assignments.

Hide a staff member from the schedule


  1. Go to Team > Employees and find the employee's profile.
  2. Select their name and go to the Assignments tab.
  3. Uncheck the Appear on schedule box for the relevant Department.

  4. Click Save to apply the changes.

Note: If an inactive employee isn't visible on the schedule but still appears in Who's Working, their shifts may be hidden because Appear on schedule is disabled. Enable Appear on schedule for the relevant Department, save, and their shifts will appear so you can delete them. See Why is an inactive employee still showing on the schedule? for full steps.
