Publish a Schedule
Once you've created your schedule, the next step is to publish it, so your team can view their shifts. When publishing, 7shifts will only publish the schedule for the specific week and department you are viewing. For example, if you are viewing and publishing the FOH schedule, the BOH will remain unpublished and in draft mode until you publish it separately.
In this article, you'll learn how to publish your schedule in 7shifts and ensure that all team members are notified of their shifts.
Prerequisites
⚠️ Employees must receive and accept their invitation to join 7shifts to be notified about their schedule.
⚠️ Admins must have completed the Account's Location/Department/Role setup. This ensures that your team will be accurately assigned and notified about their shifts.
⚠️ Managers/Assistant Managers require permission Can manage schedules, and can only access schedules for the Locations/Departments they are assigned to.
Publish Your Schedule
To publish your schedule, follow these steps. Use the tabs to change your viewing preferences through the mobile or web app:
- Log in to the mobile app.
- Click on the calendar icon
on the bottom navigation bar.
- Head to the week's schedule that you would like to publish.
- Click the Publish (x shifts) at the bottom of your screen:
- Review/edit your unpublished shifts for the Location/Department you're viewing. Or, use the filters to switch Location/Departments:
- Choose whether you'd like to notify everyone, only those with changes, or no one about the schedule you're about to publish.
- When you're ready, click Publish at the top right.
- Nice job! From there the schedule will be live for all your Employees to see. If you have chosen to notify the team about the schedule, they'll receive a notification on their preferred method.
- Log into the web app as an Admin/Manager with permissions.
- In the left navigation bar, head to the week's schedule you would like to publish.
- All shifts in draft mode will appear in light yellow and these shifts are not visible to Employees:
- Click Publish Schedule at the top right of a draft Schedule.

Choose whether you would like to notify/don't notify staff. Please note that each employee can set their own notification preferences.
If Then You select Notify everyone Staff will immediately receive an SMS / push notification and email indicating their weekly shifts. You select Don't notify anyone Shifts will be live without notifying staff. You select Notify only those with changes This option will only appear after the schedule has been published once. Those with edited shifts will immediately receive an SMS / push notification and email indicating their weekly shifts. - Click Publish Now.
- You're done! Shifts that are live for employees will appear in white. Based on their notification preferences, they will receive an alert about their schedule.
