How to Deactivate/Reactivate a Location

Location Deactivation allows you to temporarily pause billing and operations for a specific location without completely deleting it. This means you won't be charged for that location going forward, but you can easily reactivate it later if you need to.


⚠️ Important Notes

  • Who can deactivate? Only Admins can deactivate and reactivate locations.
  • Billing & Invoices: Deactivated locations are removed from your next invoice. 
  • Last Location: You can't deactivate the last active location in your account. To close your account, you must follow the full account cancellation process.
  • Data Retention: Most data for deactivated locations will be retained for up to two years. However, some items can't be restored when the location is reactivated, including scheduling templates, hiring data, and task templates. We recommend backing up any important data before deactivating.

How to Deactivate a Location

  1. Log in to the 7shifts web app as an Admin.
  2. Go to Settings > Locations/Departments/Roles.
  3. Click the Active tab to see your current locations.
  4. Find the location you want to deactivate and click the three dots (More Options) next to it.
  5. Select Deactivate Location.
  6. Add the reason you are deactivating the location along with any feedback you want to provide our team.
  7. Confirm your choice in the pop-up window.

What Happens After Deactivation?

  • The location will then move to the Inactive tab, and billing will be paused for that location. The deactivation date, reason, and who performed the action are recorded.
  • You won’t be able to schedule shifts or access employee data for that location in active workflows.
  • The location will remain visible in certain settings for reference.
  • You can reactivate the location later if needed (see steps below).

How to Reactivate a Location

You can now reactivate a location yourself directly in the app.

  1. Log in to your 7shifts account as an Admin.
  2. Go to Settings Locations/Departments/Roles.
  3. Click the Inactive tab to see your deactivated locations.
  4. Find the location you want to reactivate and click the three dots (More Options) next to it.
  5. Select Reactivate Location.
  6. Confirm your choice in the pop-up window.

A valid payment method must be added to resume billing for the Location. The location will be moved back to the Active tab, and you can resume operations as normal.

What if a Location Can't be Reactivated?

If a location does not have the option to be reactivated, it has been moved to another 7shifts account. Moved locations cannot be reactivated from their original account to avoid data duplication across multiple 7shifts accounts.
