Back Up Your Data
Before deactivating a location, deleting roles, or making major structural changes to your account, you should back up your 7shifts data to prevent data loss. You can export various reports directly to your local device.
Things to know
Caution: Deleting locations, departments, or roles may result in the permanent loss of associated data. Contact the Support team if you are unsure before proceeding.
Employee data
Important: This export only includes information for active employees.
- Go to Team in the left navigation bar.
- Click the Bulk actions dropdown menu on the right side.
- Select Export employees (CSV).
Schedule data
Weekly view
- Go to the Schedule tab in the left navigation bar.
- Click the Tools icon on the right side.
- Select Download.
- Repeat these steps for every weekly schedule you need to back up.
Scheduled hours and wages
- Click the Reports tab in the left navigation bar.
- Select the Scheduled Hours and Wages tab.
- Choose the date range you want to back up.
- Select a specific location, department, or role if necessary.
- Select CSV (download) or Excel (download) in the 'View as' dropdown.
- Click Get Report.
Time off data
- Head to Reports.
- Click the Time Off tab.
- Choose the date range you want to back up.
- Click Export CSV.
Worked hours data
- Click Reports.
- Click the Worked Hours and Wages tab.
- Choose the date range you want to back up.
- Select a specific location, department, or role if necessary.
- Select CSV (download) or Excel (download) in the 'View as' dropdown.
- Click Get Report.
7shifts Payroll data
Payroll journals and summaries
- In the left navigation bar, head to Reports > Payroll.
- Use the filters to narrow your results.
- Click Download CSV.
- Or, head to Payroll > scroll to the section Payroll History > click on the More Options
icon > download your payroll journals and summaries
Tax forms
- In the left navigation bar, head to Payroll.
- Select the Taxes tab.
- Download the required forms to your device.
