Back Up Your Data

Before deleting a Location, Roles, or making any major structural changes to your account, you should back up your 7shifts data.

❗️Deleting any Locations, Departments, or Roles may result in the loss of important data.

If you are unsure, get in touch with our Support team.
Below is the data that you can back up from 7shifts: 

Employee Data

Here are the steps to export your Employee Data:

1. Go to Team in the left navigation bar.

2. Click on the Bulk actions dropdown on the right side:

3. Click on Export employees (CSV).

⚠️ This will only Export information of active Employees.

Schedule Data

Schedule Data can be backed up either per week or sorted per employee. 

Here are the steps to export your Schedule Data per week:

1. Go to the Schedule tab in the left navigation bar.

2. Click on the 'Tools' icon on the right side, and select 'Download.'

3. Repeat step 2 for every weekly schedule that needs to be downloaded.

⚠️ The above method will import Schedule Data for inactive Employees as well.
Here are the steps to export your Schedule Data sorted per employee (along with scheduled wages):

1. Click on the Reports tab in the left navigation bar.

2. Click on the Scheduled Hours and Wages tab.

3. Choose the date range to back up the Schedule Data for.

4. If necessary, select a specific Location, Department or a Role.

5. Select 'CSV (download)' or 'Excel (download)' in the 'View as' dropdown and click 'Get Report.'

⚠️ The above method will import Schedule Data for inactive Employees as well.

Time Off Data

Here are the steps to back up your employees' Time Off Data:

1. Head to Reports

2. Click on the 'Time Off' tab.

3. Choose the date range to back up the Time Off Data for.

4. Select 'CSV (Download)' in the 'View as' dropdown and click 'Get Report.'

⚠️ The above method will not import Time Off Data for inactive Employees. You may want to reactivate Employees before generating this report, and then mark them as inactive again once you have generated the report. Alternatively, you can reference the Employee Timesheet Report which includes inactive users and their worked hours.


Worked Hours Data

Worked Hours Data can only be backed up if you use 7punches.

Here are the steps to back up your employees' Worked Hours Data:

1. Click on Reports.

2. Click on the Worked Hours and Wages tab.

3. Choose the date range to back up the Worked Hours Data for.

4. If necessary, select a specific Location, Department or a Role.

5. Select 'CSV (download)' or 'Excel (download)' in the 'View as' dropdown and click 'Get Report.'

⚠️ The above method will not import Worked Hours Data for inactive Employees. You may want to reactivate employees before generating this report, and then mark them as inactive again once you have generated the report. Alternatively, you can reference the Employee Timesheet Report which includes inactive users and their worked hours.

7shifts Payroll Data

If you're managing your restaurant's data with 7shifts Payroll, download your payroll journals,  summaries, and tax forms:

1. In the left navigation bar, head to Reports > Payroll > use the filters to narrow down your results > click Download CSV:

(Or, head to Payroll > scroll to the section Payroll History > click on the More Options Screen Shot 2022-12-01 at 5.26.25 PM.png icon > download your payroll journals and summaries):

2. In the left-hand menu, select Tax Forms to download all your tax forms:
