Migrating Payroll Data to 7shifts Payroll

You've decided to switch your provider to 7shifts Payroll and are wondering what happens with your historical payroll data. To help you understand the process, this article outlines what Year-To-Date (YTD) data can be transferred from your previous provider and what information you may need to manage manually.

Prerequisites

⚠️ The YTD upload for employee onboarding is not guaranteed; employees may still need to complete their onboarding package.

While we strive to transfer all available data from your previous provider, please review your onboarding information carefully. The YTD upload focuses on past payroll data, and some employee data migration may not transfer depending on your previous provider's capabilities and the documents provided.

⚠️ Any details transferred during the YTD upload are only stored in the backend and will not be visible in 7shifts. Further updates can be made by the employee by logging in and manually re-entering the information in their Account.

⚠️ Payroll data migration typically takes up to 10 business days and cannot be expedited.

Why Do We Need to Migrate Your Data?

When transitioning to 7shifts Payroll, it's important to ensure accurate payroll calculations and compliance with tax regulations. There are two types of migrations:

  • Inception: You're starting payroll for the first time in 7shifts with no prior provider. For example, brand-new restaurants or businesses that have never used a payroll provider before.
  • Switcher: You're moving from an existing payroll provider to 7shifts. For example, businesses moving from another payroll provider to 7shifts Payroll.

What Are My Options When Migrating?

During payroll setup, you can either:

  • Upload payroll reports manually.
  • Connect to a supported payroll provider that sends data automatically.

Your prior provider is not a supported integration.

  • You can manually upload payroll reports into 7shifts.

You used a supported payroll integration but a second unsupported integration for HR/onboarding information.

  • Directly link to the supported payroll provider for accuracy.
  • If you upload YTD data via a direct link, you cannot manually upload a report for the unsupported integration.
  • If you need additional support, our Onboarding Specialists can assist, or you can send onboarding packages via 7shifts.

You used a supported payroll integration but want to self-serve

  • Choose to manually upload reporting for both payroll and HR instead of requesting assistance.
 
 

Pro Tips!

  • Wait until payroll migration is complete before updating existing employee details to avoid overwriting any transferred data.
  • Do not send onboarding packages before payroll migration is complete. If sent early, they will need to be resent.
  • Employees cannot complete onboarding until their payroll data has been successfully transferred.

Data Availability by Provider

PrimePay, Paycor, Zeal

  •  All information is readily available.
     

QBO (QuickBooks Online)

  • Direct Deposit: Data is not available.
  • SSNs: Data availability depends on the access level granted or your plan with the provider. If available, it will be provided via a custom report.
  • Workplaces: Data is not stored.

 

Gusto

  • Withholding: Data is available but requires manual intervention. Please note that due to the size of the data, this may require additional time. We recommend that employees verify or sign off on this data.

 

ADP Run

  • Direct Deposit: Data availability depends on the access level granted or your plan with the provider.  If available, it will be loaded.

 

Toast

  • Direct Deposit: Data availability depends on the access level granted or your plan with the provider.  If available, it will be loaded.
  • SSNs:  Data availability depends on the access level granted or your plan with the provider. If available, it will be provided via a custom report.
  • Workplaces:  Data availability depends on the access level granted or your plan with the provider. If available, it will be provided via a custom report.

 

Zenefits

  • Direct Deposit: Data is not available.
  • SSNs: Data is not available.
  • Workplaces: Data is not stored.

 

Square

  • Direct Deposit: Data is not available.
  • SSNs: Data is not available.
  • Workplaces: Data is available but requires manual intervention. Please note that due to the size of the data, this may require additional time. We recommend that employees verify or sign off on this data.
  • Employee Demographics: Data is available but requires manual intervention. Please note that due to the size of the data, this may require additional time. We recommend that employees verify or sign off on this data.

 

Patriot

  • Taxes: Valid historical reports.
  • Employee Demographics: SSNs, addresses, workplaces, and withholding information.

 

PayChex Flex

  • Taxes: Valid historical reports.
  • Employee Demographics: SSNs, addresses, withholding information, and direct deposit details.

 

Push Operations

  • Taxes: Employee demographics, including SSNs, addresses, withholding information, and direct deposit details.
