How to resolve an "Incorrect SSN" error for blocked payroll employees
Issue
An "Incorrect SSN" red error message appears when attempting to enter or update a Social Security Number (SSN) in 7shifts Payroll, causing the employee profile to remain blocked from active payroll cycles.
Cause
This error occurs when the entered values fail standard system validation criteria. A common cause is mistakenly inputting a nine-digit USCIS Number (A-Number) from an Employment Authorization Document (EAD) instead of an actual Social Security Number. 7shifts Payroll systems require a valid SSN for financial and tax processing compliance.
What To Do
Note: Verify that the nine-digit number provided is the actual Social Security Number and not a USCIS Number (A-Number) from an Employment Authorization card.
Administrators can update the employee profile directly through the payroll portal:
- Log in to the 7shifts web app as an Admin.
- Navigate to Payroll > Run Payroll > Employees.
- Filter the list to display employees with a "Blocked for Payroll" status.
- Hover over the employee payroll status and select Review Details.
- Enter the verified number into the SSN field and save the changes.
If the system refuses to save the modifications from an Admin account, the employee must update the information through their individual profile:
- Log in to the 7shifts web app.
- Hover over the profile icon and select My Account.
- Select Taxes and Payment, then click Update Tax Withholdings Details.
- Click the Update SSN button located at the bottom of the modal window.
