Can I change my company's legal name or Federal Employer Identification Number (FEIN) in 7shifts Payroll?


Answer

No. For tax compliance and data integrity reasons, you cannot change the legal name or FEIN associated with an existing 7shifts Payroll account once a payroll run has been submitted.


Why This Happens

This restriction ensures tax compliance and data integrity with federal and state agencies. Once 7shifts Payroll has submitted tax filings or payments under a specific FEIN, those records are tied to that legal entity and cannot be altered.

When a business obtains a new FEIN, the IRS treats it as a new legal entity for tax reporting purposes, even if operations and staff remain the same. This creates a split in reporting:

  • Old FEIN: Reports all wages and taxes paid up to the transition date (e.g., Q1-Q3). 
  • New FEIN: Begins new wage and tax reporting from the effective date forward (e.g., Q4 onward).

Additionally, agencies such as the IRS, state withholding, and State Unemployment Insurance (SUI) departments require separate registrations under the new FEIN.


What To Do

⚠️ Important: If your company has officially changed its legal name or FEIN, you must set up a new 7shifts Payroll account under the updated information. Employees must then be onboarded to the new account.
