Approving/Declining Time Off Requests
Employees can submit time off requests in 7shifts when they need to book vacation days or indicate days they are unavailable to work. All time off requests in 7shifts must be approved by an Admin, Manager, or Assistant Manager before they are finalized.
This article provides a step-by-step guide on how Admins and Managers can approve or deny time off requests using both the web and mobile platforms.
Prerequisites
⚠️Manager users cannot receive or approve time off requests from other Manager users, as they are at the same hierarchy level. Managers will only receive requests from Assistant Managers or Employees who share the same Location and Department.
⚠️ To approve/deny employee time off requests Manager/Assistant Manager users require the permission: Can approve/decline employee time off requests.
⚠️ If a time off request is deleted by a manager, the employee will be notified by email that it was removed and the time off request will no longer appear on the schedule.
Approve or Decline a Request
Use the tabs to change your viewing preferences through the mobile or web app:
- From the More menu ☰, select Time Off.
- Under the Requests tab, you’ll see all pending time off requests.
- To review a pending request:
- Tap on a pending request to expand for more details.
- Choose Approve to approve the request.
- Or, click on the More Options icon to Delete, Edit, or Decline the request.

Optional: When approving or declining a request, you can leave a comment. This comment will be included in the approval or decline notification sent to the employee.
In the web app, Admins & Managers can Approve or Decline time off in two ways: from the Schedule or from the Time Off tab.
Approving/Declining Time Off from the Schedule
- Navigate to Schedule > Schedules.
- Click on the cell that has a Pending Time Off request.
- If the request conflicts with any previously approved time off, they will be displayed in the modal.
- Choose to Approve or Decline the request.
- Optional: Send a message to the employee. This message will be included in their approval or denial notification.
Approving/Declining Time Off from the Time Off Tab
- Navigate to Schedule > Time Off.
- Under the Requests tab, you’ll see all pending time off requests.
- If the request conflicts with any previously approved time off, you can see all of them by clicking on the 'Conflicts' button.
- Click on the Status to Approve or Decline the request.
- Optional: Send a message to the employee. This message will be included in their approval or denial notification.
