Approve or Deny Shift Pool Requests

As a Manager or Assistant Manager in 7shifts, you can review, approve, or deny shift pool requests submitted by employees. This article will guide you through the process on both the 7shifts web and mobile app.

In this article, you'll learn how to approve, deny, and manage shift requests to maintain optimal staffing levels and employee satisfaction.

Prerequisites

⚠️ Manager/Assistant Managers can only access requests from other users that are assigned the same Locations and Departments they are assigned to.

⚠️ Managers/Assistant Managers will be able to approve shift trades/requests with permissions: can manage schedules, and can approve/decline shift pool requests.


Approve or Deny Requests

Use the tabs to change your viewing preferences through the mobile or web app:

  1. In the More menu ☰ , head to Shift Pool.

  2. Under the Requests , tap to manage trade requests or shifts bids.


    For Trade Requests, tap on approve or decline trade:



    For shift bids (under Drops), choose to assign it to the bidder. Or, use the More options icon to delete/take the shift:



  3. In the Up for grabs tab, tap on a shift and choose to Find Cover to select a new employee to cover the shift, or take it yourself. Alternatively, use the More options icon to change the shift flag, remove it from the shift pool, or delete the shift altogether:

  4.  Under the Mine tab, view all your shift pool requests and any of your shifts that are up for grabs.


Notifications

After a shift pool request is processed:

  • Both employees—the one giving away the shift and the one assigned the shift—will receive a notification about the schedule change (approved/denied). The schedule will automatically update to reflect the new shift assignment.

  • Employees will be notified about their shift bid if a Manager approves or denies their request.
  • Once a shift is assigned, other employees who bid on it will not receive a direct notification. However, the shift will no longer appear in their Shift Pool.
  • If a bid is denied, the employee will receive a notification that their request was not approved
