Approve or Deny Shift Pool Requests
Managers and Assistant Managers can review, approve, or deny employee shift pool requests using the 7shifts web or mobile app.
Things To Know
- Managers and Assistant Managers can only access shift pool requests from users assigned to the same Locations and Departments.
Managers/Assistant Managers will be able to approve shift trades/requests with permissions: can manage schedules, and can approve/decline shift pool requests.
- Expired shifts in the pool? Admins and Managers can clear them by removing the shift from the Schedule page and republishing the schedule for that specific week.
Approve or deny shift pool requests
Use the tabs below to view instructions for either the mobile app or the web app:
- Open the More menu ☰ in the mobile app and select Shift Pool.
-
Under the Requests tab, tap to manage trade requests or shift bids.
To manage trade requests, tap to approve or decline the trade:
To manage shift bids under Drops, choose to assign the shift to the bidder, or use the More options icon to delete or take the shift: - In the Up for grabs tab, tap on a shift and choose Find Cover to select a new employee to cover the shift, or take the shift yourself. Alternatively, use the More options icon to change the shift flag, remove the shift from the shift pool, or delete the shift altogether.
- Under the Mine tab, view all active shift pool requests and any personal shifts that are currently up for grabs.
- Log into the 7shifts web app.
- In the left navigation bar, head to Schedule > Shift Pool.
-
Click on the Shift pool requests tab and click on Approve / Deny to view potential conflicts and assign or deny the shift. Bids are listed chronologically from the oldest bid at the top to the most recent bid at the bottom.
Within the shift details, view all employees who placed a bid and see any warnings if assigning the shift results in scheduling conflicts, labor exceptions, or overtime: - In the Up for grabs tab, you can take a shift or use the More Options icon to delete the shift being offered.
- Clear any localized display or sync delays by navigating to Schedule, deleting the affected shift from the grid, and clicking Publish to update employee views.
- In the Trade Requests tab, use the drop-down menu to approve or decline the trade.
- In the My trades tab, view all your current shift pool requests.
Shift pool notifications
- Both the employee giving away the shift and the employee assigned the shift will receive a notification about the approved or denied schedule change. The schedule automatically updates to reflect the new shift assignment.
- Employees will be notified about the status of their shift bid once a Manager approves or denies the request.
- When a shift is successfully assigned, other employees who bid on the shift will not receive a direct notification, but the shift will automatically disappear from their Shift Pool.
- If a shift bid is denied, the employee will receive a notification stating that the request was not approved.
