Weekly Overtime Report

This article overviews the 7shifts Weekly Overtime Report, a tool designed to help restaurant managers make informed scheduling decisions and minimize overtime expenses. 


Report Purpose: The Weekly Overtime Report provides a clear view of employees approaching overtime thresholds, along with estimated overtime costs based on their remaining scheduled hours. This allows managers to proactively adjust schedules, sending employees home early during slow periods or calling in additional staff when needed.

Report Availability: This report is accessible via the 7shifts web app. It is not available on the 7shifts mobile app.

Dependencies:

Required Permissions:

  • Viewing the Report: Manager/Assistant Manager users must have the 'Can view reports' permission to view the report for the Locations/Departments they are assigned.
  • Viewing Estimated Costs: Manager/Assistant Manager users must also have the 'Can view wages' permission to see the estimated cost column in the report. Without this permission, the cost column will be hidden.

How to Run the Report:

  1. Log in to the 7shifts web app as an Admin or a Manager/Assistant Manager with the necessary permissions.
  2. Navigate to Reports > Weekly Overtime Report.
  3. To download the Weekly Overtime Report, select Export CSV.


Report Details

  • Included Employees: Employees projected to reach or exceed 30 hours in the current week will be displayed in the report. Hours are combined across all Locations, Departments and Roles. 

Report Columns

  • Worked Hours: Only approved punches are included in the worked hour calculations in this report. 
  • Scheduled Hours Remaining: Only published shifts are considered when calculating scheduled hours in this report. 
  • Projected Hours: The sum of Worked Hours + Remaining Scheduled Hours, projecting total potential hours and potential overtime cost.
  • Overtime Reached: An estimate of when an employee will reach overtime hours based on their upcoming schedule. This helps identify employees at immediate risk of incurring overtime.
  • Overtime Cost: This calculation uses your overtime settings and the employee's wage.
    •  ⚠️ Note: The estimated overtime cost is displayed only if the user viewing the report has the 'Can view wages' permission. 

Filtering

  • Date Range: The date picker is fixed to weekly view, and weeks are defined by the "Start Week On" setting in your 7shifts account.
  • Location Filtering: The report must be run for one location at a time. It does not support viewing all locations simultaneously.
  • Employee Filtering: The employee dropdown filter includes all employees at the selected location, even those without any worked or scheduled hours for the week.
  • Multi-Location Employees: If an employee is assigned to multiple locations, all worked and scheduled hours across all locations will be included in the report, regardless of the Location selected.
