Sending Bulk Employee Onboarding Packages

This article explains how to send onboarding packages to multiple new employees at once in 7shifts. Sending packages in bulk can save significant time and effort when onboarding a large number of employees, such as during seasonal, company expansion, or, if you're just getting started with 7shifts Payroll. This feature allows you to quickly get all your new hires started with the necessary paperwork and information.


Who can use this feature?

  • Admins have full access and can send themselves, as well as other Admins onboarding packages.
  • Managers & Assistant Managers can send onboarding packages to employees at their assigned location(s), if they have the following permissions enabled: 
    • 'Can add employees' 
    • 'Can edit employees'
    • 'Can manage employee documents'
    • 'Can send and approve onboarding forms'
    • 'Can view wages'

Account Requirements


How to Send Bulk Onboarding Packages: 

  1. From the 7shifts web app, go to Team > Employees > Onboarding.
  2. Click Send new package.
  3. Select the Location. 
  4. Choose to Send to multiple employees. 
  5. Next, click Select employees.

  6. In the pop-up, select the employees you'd like to send this package to by checking the box beside their name.
    • ⚠️ Important: 
      • Employees with an in-progress package cannot be selected.
      • Employees without an email address in their profile cannot be selected. 
    • Use the arrows at the bottom to view/select more employees. 
  7. Click Next to review employee information.

  8. Review/update employee information including: 
    • Payroll Classification
    • Hire Date
    • Verify employee emails. If incorrect, close the pop-up, update the emails in the employee profile, and restart the bulk sending process.

  9. Review package before sending. 
    • ⚠️ Note: When sending packages in bulk, package contents cannot be edited. 
  10. Select Send Packages to send out employee onboarding packages!

  11. The employees will receive an email to sign into 7shifts and complete their forms.

Key Considerations

  • 7shifts Payroll Enabled: All required payroll forms will be included in onboarding packages sent in bulk.
  • 7shifts Payroll Disabled: Employees receive forms based on the company’s package configuration.
  • Form Editing: Forms included in bulk sends cannot be edited. Edits must be made individually per employee (bulk editing is planned for a future update).
  • Employee Details: Changes to hire date or classification are saved in employee profiles after the employee details step is completed.
  • Hire Date Requirement: A hire date is required if payroll is enabled. Otherwise, employees can receive a package if they have no active onboarding package and a valid email.
