Employee Guide: Download your W-2 (or 1099) in 7shifts

A W-2 (or 1099) form is a tax statement summarizes your total earnings, taxes withheld, and other financial details needed for filing income tax returns. If 7shifts is your payroll provider, you can view and download your tax statements directly from your 7shifts account once they are issued. This article outlines how you can access and download your tax documents in 7shifts. 

⚠️ Note: Access to W-2 or 1099 is only available for accounts using 7shifts Payroll. If your company uses a different payroll provider, please contact them for information on how to access your tax statement.
⚠️ Important: 2024 W-2s & 1099s will be available in 7shifts starting January 20, 2025.

Mailed W-2s: 

  • Employees who did not consent to Paperless Statements will receive a physical copy of their W-2 mailed to the address listed in their 7shifts profile.
  • Mailed W-2s are sent out by our payroll processing partner, Check, on a rolling basis and will arrive by the end of February. In the meantime, employees can view their W-2 online following this guide. 
  • Regardless of paperless consent, all employees can access their W-2 digitally through their 7shifts account.

Mobile Access:

  • All employees who were paid via 7shifts Payroll in the previous year can access their W-2 through the 7shifts mobile app, regardless of employment status. 
⚠️ Important: Mobile access in this context refers exclusively to the 7shifts mobile app, not a mobile web browser. To access your W-2 on a mobile device, use the 7shifts mobile app.

Web Access: 

  • Web access to W-2s is available only to active employees with an active employer currently using 7shifts Payroll.

To view download your W-2 follow the instructions below. Use the tabs to change your viewing preferences through the mobile or web app.

⚠️ Important: If you are having trouble downloading your W-2 digitally, please reach out to your employer for help in retrieving your W-2 for the previous calendar year. 
Mobile Web
  1. Login to the 7shifts mobile app.
  2. Click on the More Menu icon (☰) in the bottom right corner of the screen.
  3. Tap on Pay Management and select the Tax forms tab.

  4. Tap on the W-2 for the previous tax year to view it.
  5. Tap on the header (e.g., Federal W-2 (2024)), then choose to save the file to your device, lock the PDF, print it, or share it via email.
     

Web vs. Mobile Access to W-2

Employees can access their digital W-2 in 7shifts web and mobile platforms. However, access on depends on the following factors: 

  • Employee Status (Active or Inactive)
  • Company Account Status (Active or Inactive/Cancelled) 
  • Platform Used (Web or Mobile)
