Employee Guide: Download your W-2 (or 1099) in 7shifts

Employees can access their W-2 or 1099 tax statements directly in 7shifts to view total earnings and taxes withheld for income tax returns. Tax forms for the 2025 tax year will be available starting January 27, 2026 and all forms will be published by January 31, 2026.

Important: Tax documents are only available for accounts using 7shifts Payroll. If your company uses a different payroll provider, contact your employer directly for your tax statements.


Things to know

  • Employees receive an email notification when tax forms are ready in the 7shifts mobile app.
  • All employees can access digital W-2s regardless of whether they opted into paperless statements.
  • Physical W-2s are mailed by Check Technologies on a rolling basis and will arrive by the end of February for those who did not consent to paperless statements.
  • Mobile access refers exclusively to the 7shifts mobile app and is not supported on mobile web browsers.
  • Inactive employees or employees of cancelled companies must use the 7shifts mobile app for access.
  • If you are an inactive employee and are locked out by Multi-Factor Authentication (MFA), please reach out to your employer directly to request a copy of the required tax forms. 

If you are encountering issues accessing your account to download your W-2 or 1099, contact the Admin of the account or your former employer first.


How to download your tax forms

To view download your W-2 follow the instructions below. Use the tabs to change your viewing preferences through the mobile or web app.

⚠️ Important: If you are having trouble downloading your W-2 digitally, please reach out to your employer for help in retrieving your W-2 for the previous calendar year. 
Mobile Web
  1. Login to the 7shifts mobile app.
  2. Click on the More Menu icon (☰) in the bottom right corner of the screen.
  3. Tap on Pay Management and select the Tax forms tab.

  4. Tap on the W-2 for the previous tax year to view it.
  5. Tap on the header (e.g., Federal W-2 (2025)), then choose to save the file to your device, lock the PDF, print it, or share it via email.
     

Platform access matrix

Your ability to access tax forms on the web versus the mobile app depends on your current employment status and your employer's account status.

  • Active employees connected to an active employer can use the web and mobile app.
  • Active employees connected to an inactive employer must use the mobile app.
  • Inactive employees connected to an active employer must use the mobile app.
  • Inactive employees connected to an inactive employer must use the mobile app.
