How to create Task list templates

Customizable task lists in 7shifts group a series of custom tasks to eliminate paper tracking and improve team accountability.

Things To Know


Important: Managers and assistant managers require the "Can manage tasks" permission to create and edit task lists.

  • Managers and assistant managers have access to all task lists within assigned departments, including task lists for roles to which those managers are not assigned.
  • Users can only create and edit tasks and task lists from the 7shifts web app.

Task List Visibility


The table below outlines task list visibility permissions for each user type in 7shifts.

User Type Can see
Employer / Admin All task lists company-wide.
Manager / Assistant Manager All task lists within their assigned departments.
Employee Only task lists explicitly assigned to that specific user by user Location, Department, and/or Role assignments.

Create a Task List Template


Important: Once the recurrence type is set, the recurrence type cannot be changed. To modify the recurrence of an existing list, users can copy the task list template and select a new recurrence type. For more information, see Copying a Task List Template.

Important: A time frame can only be added when using Daily, Specific days of the week, or One-time recurrence options.

  1. Log into the 7shifts web app.
  2. In the left navigation bar, select Tasks.
  3. Select Create Task List Template.
  4. Enter a name, add a description, and select the recurrence type for the task list:
    • The Daily option restarts the task list at the end of each day, two hours after the location closes based on the location hours of operation. Daily task lists automatically generate two hours before the location opens.
    • The Specific days of the week  option schedules the task list on designated days of the week, beginning two hours before opening and ending two hours after closing.
    • The Weekly option restarts the task list at the end of the day before the configured Week Start date, two hours after the location closes.
    • The Monthly option restarts the task list at the end of the last day of the month, two hours after the location closes.
    • The One-time (Does not repeat) option keeps the task list active until the task list reaches the configured end date.
  5. Configure an optional time frame by selecting Add Time Frame to define when the task list appears to employees and the time by which tasks must be completed.

    • The specified time frame applies to all tasks within the task list.
    • One-time lists require a due date, while the end time remains optional.
    • The task list is only visible to employees after the start of the specified time frame.
    • The task list becomes overdue if any tasks remain incomplete by the designated end time.
    • Employees cannot complete tasks on an overdue task list. All tasks must be completed within the configured time frame.
  6. Click + Add assignment to assign the task list to a specific Location, Department, Role, or Employee. Roles will display after a department is selected.

    Note: If a task list is assigned to a single role, the task list will be deleted if that role is deleted from the 7shifts account.

  7. To assign multiple locations, departments, or roles, click Save and then select + Add Assignment.
  8. Click Save & add tasks to complete the template setup.
