Create Task List Templates in 7tasks

Eliminate pen and paper while improving accountability with customizable task lists. Even when you're not around! Taks lists are used to group a series of custom tasks.

This article will walk you through setting up task lists, configuring their recurrence, and assigning them to the right team members.

Prerequisites

⚠️ Managers/Assistant Managers require permission Can manage tasks to create and edit task lists.

⚠️ Managers/Assistant Managers will have access to all task lists within their assigned Departments. This includes those for roles they are not assigned to.

⚠️ Tasks and Task lists can only be created and edited from the 7shifts web app.


Create a Task List 

  1. Log into the web app.

  2. In the left navigation bar, head to Tasks.

  3. Select Create Task List Template.

  4. Name your list, add a description and set the tasks list's Recurrence type:

    ⚠️ Once the recurrence has been set it cannot be changed. However, you can still make a copy of an existing list and then choose a different recurrence for the copy. Click here to learn more.

    ⚠️ Daily task lists will automatically generate two hours before your location opens and close two hours after it closes, based on your Location's hours of operation. This 2-hour buffer won't apply if a specific time frame is set for the task list.

    Recurrence Types

    Daily Restarts at the end of each day, two hours after your location hours of operation close time.

    Specific days of the week The list occurs on specific days of the week, beginning two hours before your open time and ending two hours after close.

    Weekly Restarts at the end of the day before your set Week Start date, two hours after your location hours of operations close time.

    Monthly Restarts at the end of the day on the last day of the month, two hours after your location hours of operations close time.

    One-time (Does not repeat) The list remains active until it has reached its end date.

  5.  (optional) Add Time Frame. Select the time the task list will appear to employees and the time by which the tasks must be completed.

    ⚠️ Adding a Time Frame is only available when using the Daily, Specific Days of the Week, or One-Time recurrence options.

    • The Time Frame entered will apply to all tasks within this list.
    • One-Time lists will only require a due date (the end time is optional).
    • The task list will only be visible for Employees after the beginning of the Time Frame.
    • The list will become overdue if there are still any incomplete tasks by the end time.
    • Employees cannot return to an overdue task list and complete them. Tasks must be completed within the set Time Frame.
  6. Click + Add assignment to select which Location, Department, Role, or Employee to assign this list to. Roles will only appear once a department has been selected.

    ⚠️ When creating a Task List for a single Role, this task will be deleted if the Role is deleted.

  7. You can add multiple Locations, Departments and Roles once you click Save >  + Add Assignment.

  8. Click Save & add tasks.

  9. Nicely done! From here, you're ready to add tasks to your new task list!
