How to customize your schedule layout view
7shifts lets you choose between three schedule layout options so you can view and manage shifts in the way that works best for your team. Layouts affect how employees and roles appear on your Schedule page.
Things to know
Important: Changing the schedule layout updates the view for all Admins and any Managers or Assistant Managers with permission to edit schedules.
Important: Access to certain layouts may require a plan upgrade.
- Three layout options are available: Default (list by role), List, and Time Frames.
- Layouts are changed using the layout menu icon on the Schedule page.
- The account starts with the Default (list by role) layout.
Switch your schedule layout
Use the layout menu icon on the Schedule page to switch between layouts. The layout you select applies account-wide.
Default (list by role)
The Default (list by role) layout lists employees under their assigned role headers. If an employee is assigned to multiple roles, 7shifts displays that employee under their designated Primary Role. From there, you can assign shifts to each employee.
The order roles appear in this layout matches the order set under Settings > Locations, Departments & Roles > Roles. To change that order, refer to Rearrange Roles on the Schedule.
To move an employee under a different role, click, hold, and drag the employee's name to the desired role:
List
The List layout displays employees in the order they were added to the account. Below each employee's name, 7shifts shows their total scheduled hours for the week and total labor costs. Labor costs are calculated based on the hourly wage or weekly salary entered in each employee's profile.
To reorder employees, click and drag the employee name cell to the desired position:
If you manage multiple locations, the scheduled hours total reflects all locations the employee is assigned to. Labor costs display only for the location you're currently viewing:
Important: A salaried employee or manager will only have labor costs shown for the department schedules they're set to appear on. This setting is in their employee profile under the Assignments tab.
Note: If Appear on schedule is disabled for a department, that portion of the employee's salary won't be divided into that department.
Time Frames
The Time Frames layout organizes the schedule by role and shift time. Use this view to confirm you have the right coverage for each shift window.
- Role order matches the order set under Settings > Locations, Departments & Roles > Roles. To change the order, refer to Rearrange Roles on the Schedule.
- Viewing All departments isn't supported in the Time Frames layout.
When you click to add a shift in a specific time frame, 7shifts shows all available employees and how many hours each employee is already scheduled to work:
To set up time frames in your account, refer to Creating Common Shift Times. You can also add new time frames directly on the Schedule page using the Time Frames layout.
Can I separate an employee's scheduled hours by location?
No. When an employee is assigned to multiple locations under one 7shifts account, 7shifts displays their total scheduled hours across all locations. This can't be changed within the current account setup.
To view hours for one location only, you'd need to split locations into separate 7shifts accounts.
Note: This applies to accounts with multiple locations under a single 7shifts account. Labor costs in the List layout still display per location.
