Signing Up: Build Your Account Structure

When you first sign up with 7shifts, you'll be guided through a few initial steps to start building your 7shifts account. One of these steps is building your Account Structure. You can do this in two ways: 

This article covers the basics of your 7shifts Account Structure which can be done in two ways: 

  1. Upload Your Current Schedule: This uses AI technology to automatically create your Departments, Roles, and employee names from an existing schedule file. 
  2. Manually Create: Build your Department, Roles, and add your team members from scratch.

Prerequisites

⚠️ This article is intended for new users setting up their Accounts for the first time. Existing Accounts can take a look at 7shifts Account Structure - Locations, Departments, and Roles.


Account Structure Basics

Having a clear and organized 7shifts Account Structure is essential for:  

  • Efficient Scheduling
  • Accurate Reporting
  • Team Communication (using the 7shifts messaging feature)
  • And more!

Key Concepts:

  • Schedules are separated by Departments (e.g., each Department will have its own schedule in 7shifts).
  • Your team only sees scheduled for their assigned Departments.
  • A Manager must be assigned to a department to manage its schedule.

Upload Your Current Schedule

The 'Upload your current schedule' option uses the AI Schedule Importer to automatically populate your account structure. Simply upload a file or image of your current schedule!

⚠️ Important Notes: 

  • The AI Importer works best with single-sheet/page files.
  • Accepted file types: JPG, PNG, XLSX, CSV
  • Maximum file size: 5MB
  • The importer will do its best to accurately create your account structure, but imperfections are expected. You'll have the opportunity to review and edit the extracted data before finalizing your structure.
  • This feature is available for trial accounts only, and you can only import one schedule per company.
  • If you add a new location to your account during your trial, you will no longer be able to use the AI Importer.
  1. During initial setup of your 7shifts account, select the option to 'Upload your current schedule' and Continue.

  2. Upload your schedule file.
  3. Click 'Build my Restaurant!' The AI Importer will begin to extract data from your uploaded file. 
    • Note: This step can take up to 2 minutes.
  4. Review and Edit:
    • The AI Importer will extract Departments and Roles to start building your 7shifts account structure.
      • Edit names, delete entries, or add new ones as needed.

    • The importer will also extract Employees and their assignments. 
      • Make any necessary edits to names and assignments.

  5. Once you've completed the Account Setup steps, you'll be taken to your Schedules page to start scheduling!

Manually Create Your Departments, Roles, and Team

This option allows you to customize your Account structure from scratch.

  1. During initial setup of your 7shifts account, select the option to 'Build Manually' and Continue.


     
  2. Enter details for each Department and its Roles. Add or delete Departments and Roles as needed.
    • To delete a Department, click on the three dots.
    • To delete a Role, click on the X. 

       
  3. Once you've completed the Account Setup steps, you'll be taken to your Schedules page to start scheduling!
