What’s New: 7shifts Payroll Run Updates

Coming Soon! You may soon see some changes coming to the Payroll run page in 7shifts Payroll. These updates make it faster to review employees, approve punches, and close your pay period before you submit.

Important: These updates are rolling out to 7shifts Payroll customers in phases. If your Payroll run page doesn't match what's shown in this article, the updates aren't available for your account yet, and they're coming soon!

Review employees faster on the Payroll run page

Employee rows now collapse by default, so the list is easier to scan. Select a row to open it and see the hours, earnings, and tags for that employee. To open or close every row at once, select Expand all or Collapse all at the top of the list.

Use the filter tabs to show the employees you need to work on:

  • All shows every employee and contractor in the run.
  • Contractors shows only contractors.
  • Blocking payroll shows employees who need action before you can submit.
  • For review shows employees who need attention for overtime, exception fees, or PTO.

The Contractors, Blocking payroll, and For review tabs only appear when there's something to show in them.

See time off and overtime costs on the Earnings page

Time off is now reviewed on the Earnings page instead of in a separate step. Paid time off and paid sick time appear in each employee's earnings, and your gross pay reflects those costs.

Where only hours are shown, hover over the amount to see its dollar value. For overtime, the tooltip also shows the qualified overtime amount, along with a note about how it's calculated for OBBBA tax deductions under FLSA rules. This indicator is for visibility only.

Approve punches in bulk

The banner at the top of the Payroll run page shows how many punches still need approval before you can close the pay period. Use the bulk approve option to approve every punch that doesn't have a conflict in one step.

  1. Check the banner for the number of punches that need approval.
  2. Select Approve [#] punches without conflicts.
  3. Select Filter all unapproved punches to see the employees who still have punches to review.
  4. Review each remaining punch, resolve any conflicts, and approve it.

Punches with conflicts, such as clock-out or break conflicts, always need to be reviewed one at a time. Bulk approval won't approve them for you.

Review and edit punches inside payroll

Each employee row shows a punch status. If every punch is approved, the row reads All punches approved. If not, it shows how many punches need approval. Select that link to open the punch list, which shows every punch in the pay period, along with any warnings, breaks, and approval status.

While the pay period is open, Admins can add, edit, or delete punches right inside payroll, using the Time Clocking modal. Estimated gross pay updates automatically after each change. Keep these limits in mind:

  • You can only edit punches within the dates of the pay period.
  • You can only edit punches at locations tied to your EIN.

Tip: Tips and PTO aren't recalculated after every punch edit. When you change a punch, the employee's row shows an "Estimated gross might have changed" message. To update tips and PTO, close the pay period or select Sync Timesheets & Tips.

Sync edits made in Time Clocking

If you edit punches in Time Clocking instead of inside payroll, those changes won't appear in the Payroll run right away. Select Sync Timesheets & Tips to pull them in and recalculate tips, PTO, and gross pay for everyone in the run.

Syncing overrides any manual changes you've made to the payroll draft, so the draft matches your timesheets again.

Close the pay period before you submit

Your pay period or timesheet must be closed before you can submit payroll. Closing finalizes each employee's gross pay and recalculates tip pooling and PTO accruals using the final hours. After you close, you can add, edit, and manage tips, paid time off, and additional earnings.

Until the pay period is closed, those fields stay locked. Each row shows a message explaining that payroll edits are locked until all punches are approved and the pay period is closed.

Need to change something after closing? Reopen the timesheet in Time Clocking, make your changes, then return to the Payroll run and select Sync Timesheets & Tips.

Check the preview before you submit

Key details that used to sit behind tooltips now appear right on the preview page. The preview is split into four cards:

  • Total Payroll Cost shows the number of employees and your pay period, submission deadline, and pay day.
  • Direct Deposit Withdrawal shows the amount and the date it starts. Paper checks appear below it.
  • Other Liabilities shows what isn't withdrawn automatically, including benefits, post-tax deductions, and tips already paid.

Select Edit payroll to go back to the run, or Submit payroll when everything looks right.
