What's New: Tip Pooling Updates
Tip pools just got more flexible. You can now choose when a tip pool change takes effect instead of it applying the moment you save, and every tip pool keeps a full version history so you can see exactly what settings were active on any date. This is available with the Tip Management add-on, for Managers and Admins with tip pooling access.
Important: These tip pooling updates are rolling out to 7shifts accounts in phases over the next several weeks, so you may not see them yet. If your account doesn't match the updates shown in this article, please refer to the Tip Pooling articles in the 7shifts Knowledge Base for your current experience.
Filter tip pools on the Tip Pooling page
The Tip Pooling list page in 7shifts shows every tip pool for your account. You can filter the list by location and by tip pool status to find the tip pool you need faster.
- Go to Tips > Tip Pooling.
- Select a location to see only the tip pools for that location.
- Select a tip pool status (All tip pools, Active tip pools, Ended tip pools) to change which tip pools appear in the list.
Available Tip Pool frequency calculations
A tip pool's frequency, meaning how often the tip pool calculates tips, needs to match the account's pay schedule frequency set in Time Clocking. Frequencies that don't match your account's pay schedule appear greyed out when you set up or edit a tip pool.
These are the compatible tip pool frequencies for the different pay schedule types:
- Daily and day part tip pools work with any pay schedule.
- Weekly tip pools work with weekly or biweekly pay schedules.
- Biweekly tip pools work with biweekly pay schedules only.
- Semi-monthly tip pools work with semi-monthly or monthly pay schedules.
- Monthly tip pools work with monthly pay schedules only.
Setting an effective date for a tip pool
When you create or edit a tip pool in 7shifts, the setup includes a new Effective date step. This step sets when the new tip pool settings start applying. Available dates depend on the tip pool frequency and your account's pay schedule frequency.
- Go to Tips > Tip Pooling.
- Create a new tip pool, or select the three-dot menu next to an existing tip pool and select Edit.
- Continue through the setup steps to the Effective date step.
- Choose the effective date, then select Next.
- Confirm the effective date on the Final review step, then select Save my tip pool.
Important: Closed pay periods can't be selected as a tip pool effective date.
If the date you choose includes days that have already been worked in a pay period that's still open, 7shifts recalculates those days with the new tip pool settings. A warning appears before you save:
Look up tip pool version history
Every tip pool in 7shifts has a details page that shows its current setup and a Change history table. Managers can open any past or scheduled version to see the exact settings that were active at that time.
- Go to Tips > Tip Pooling.
- Click the Tip Pool name you want to view the details on.
The Change history table lists the Version, Version status, Effective period, and date and time of the change.
Click the desired Version to see the tip pool setup for that version.
The version status tells you where each version stands:
- Current version: The active version calculating tips right now (for active tip pools)
- Scheduled change: A version with a future effective date that is not yet in effect.
-
Replaced: A past version that was previously active and replaced, or a scheduled version replaced by another edit before its start date.
- Was active then replaced: Displays a date range (e.g., Jan 5, 2020 – Jul 19, 2026).
- Replaced before taking effect: Displays 'Replaced before start date'.
- Canceled: A version with a future effective date that was canceled before being active.
- Last active: The final version that was active before a tip pool was ended (replaces "Current version" once a pool ends).
- End: A visual row marking when the tip pool ended (not an active setup version).
Edit, End or Delete a tip pool
A tip pool that has calculated tips cannot be deleted; it can only be ended. Ending a tip pool stops it from calculating tips after the end date and keeps all past tips, reports, and payouts viewable. Only tip pools that have never calculated tips can be permanently deleted.
Edit a tip pool
- Go to Tips > Tip Pooling.
- Select the tip pool you want to edit.
-
In the top right, select Actions dropdown menu and choose Edit tip pool.
- Complete the changes and select Save my tip pool.
Delete a tip pool
Note: The Delete tip pool option is not available if that tip pool has calculated tip history. The tip pool would need to be ended instead.
- Go to Tips > Tip Pooling.
- Select the tip pool you want to delete.
- In the top right, select Actions dropdown menu and choose Delete tip pool
-
Confirm by selecting Delete tip pool again.
Note: Deleting permanently removes the tip pool data and all of its settings.
End a tip pool
- Go to Tips > Tip Pooling.
- Select the tip pool you want to end.
- In the top right, select the Actions dropdown menu and choose End tip pool.
-
Enter the end date, then select End tip pool.
Important: The end date for a tip pool can be the current day or pay period, or any day or pay period in the future. Past dates can't be selected.
Caution: Deleting or ending a tip pool in 7shifts can't be undone. An ended tip pool can't be edited or given a new effective date, so use the version history under View tip pool details to recreate its settings in a new tip pool.
Find ended tip pools on the Tip Pooling page
Ended tip pools still appear on the Tip Pooling list page in 7shifts.
- Go to Tips > Tip Pooling.
- Filter your tip pools by location and Ended tip pools.
- Select the tip pool you want to view.
Tip pool reporting
A new Tip Pool Version column appears right next to the pool name, making it easy to see exactly which rules applied to each row.
This will appear in the Detailed CSV Report version only.
Note: If your selected date range includes more than one tip pool version, an alert banner appears at the top letting you know settings were updated, along with a link to view the change history.
