What documents are included in an Onboarding Package?

When you send an onboarding package in 7shifts, the forms included depend on your location address, whether you have 7shifts Payroll enabled, and where your employees work. Some forms populate automatically based on payroll jurisdiction; others are your responsibility to add manually as custom documents.

Things to know


  • The physical address set under Location settings determines which state and local tax forms are included. Make sure your location addresses are accurate before sending packages.
  • If you enable 7shifts Payroll after employees have already completed onboarding, a new package needs to be sent. All payroll-required forms (I-9, W-4, state withholding, Payment Method, and Personal Information) will need to be completed again. Any custom documents already on file remain accessible from the employee's profile.
  • Employee Onboarding is available to U.S.-based accounts only (excluding Puerto Rico).

Auto-generated forms


7shifts automatically includes the following forms in every onboarding package sent to a new employee in the United States.

Federal forms (always included):

  • Federal I-9 (Employment Eligibility Verification)
  • Federal W-4 (Employee's Withholding Certificate)
  • Personal Information form
  • Payment Method form

State and local withholding forms (included when applicable):

The state and/or local tax withholding form is auto-generated based on the employee's work address. If an employee works across locations in different counties, cities, or states, multiple forms may apply. The table below lists every state and local withholding form currently supported.

Important: Supported auto-generated forms are reviewed and updated regularly as compliance rules change. While this list is periodically updated, the forms auto-generated within your 7shifts account will always reflect the most current, up-to-date versions for your location.

Self-managed onboarding documents


Not every legally required onboarding document is auto-generated by 7shifts. There are some forms that fall outside of the auto-generated flow. 

For example: Labor and compliance notices

Some documents required by state law aren't payroll forms and aren't generated through our payroll flow. California's Wage Theft Prevention Act (WTPA) notice (Labor Code 2810.5) is one example. That notice requires employer-specific details such as pay rates, overtime rates, and workers' compensation carrier information that aren't collected during payroll onboarding. If your state or locality requires a labor compliance notice upon hire, you're responsible for uploading and distributing it separately as a custom document.

Custom documents


You can manually upload your own documents to any onboarding package. Once signed by the employee, these documents are stored under their profile in the Documents tab. Supported file types are PDF, JPEG, and PNG, with a maximum file size of 500 MB per document.
