Understanding Integration Warnings in Time Clocking

When you’re running payroll, missing or incomplete labor data from your POS can be easy to miss. The Warnings tab in 7shifts highlights exactly what needs your attention by surfacing unmapped employees, unmapped roles, and punches missing a role. These alerts appear directly as you review your current pay period, helping you quickly resolve issues and avoid payroll delays.

  • You’ll see only the warnings relevant to the pay period you’re closing, and you can fix issues right from this tab.
  • You can still close your pay period even if some warnings remain, but reviewing them will help keep your payroll accurate.

This is especially valuable for customers who use their POS as their labor source and who run payroll through 7shifts, either with 7shifts Payroll or a supported payroll integration.

Prerequisites

⚠️ Managers and Assistant Managers can view the Warnings tab for the Locations they are assigned to, and require permissions: 'Can add employees', 'Can manage time punches', and 'Can manage roles'.

⚠️These individual permissions determine which types of warnings are visible:

  • Unmapped POS employees requires 'Can add employees'

  • Unmapped POS roles requires 'Can manage roles'

  • Punches with missing roles requires 'Can manage time punches'


Access the Warnings tab

The tab will only appear for the current pay period, and only for the locations you have access to. If a pay period is closed, the Warnings tab disappears. Re-open it to re-generate the warnings.

  1. Log in to the web app as a Manager or Assistant Manager with permissions.
  2. In the left navigation bar, head to Time Clocking > Pay Periods.
  3. Select an open Pay Period (i.e., status is In Progress, or Ready for Review).
  4. Click the Warnings tab.

Types of Warnings & How to Resolve Them

The Warnings tab groups issues into three accordions. You may see one, two, or all three depending on your POS integration.

Accordion 1: Unmapped employees with punches

Available for Toast, and Square POS users.

This warning means an employee clocked in on your POS during the current pay period but is not linked to a 7shifts user. Their hours may be missing from payroll and reports. To fix it, choose to:

  • Map to an existing 7shifts user
  • Create a new 7shifts user
  • Ignore the POS user (if they shouldn’t appear in 7shifts)

This warning will not block payroll, but resolving it keeps your payroll data complete and accurate.

Accordion 2: Unmatched roles with punches

Available for Toast, and Square POS users.

This warning means an employee clocked in under a POS role that doesn't exist or isn't mapped in 7shifts. To fix it, choose to:

  • Map the POS role to a 7shifts role, or
  • Create a new 7shifts role and map it

Once mapped, role information on associated punched will update automatically.

Accordion 3: Punches with missing or unassigned roles

Available for all POS labor integrations.

 
A time punch from the current pay period is missing a role. This can happen if:

  • The POS punch had no role assigned
  • The employee wasn't scheduled
  • The employee worked a role not assigned to them in 7shifts
  • The POS role is mapped, but the employee is not assigned to that role in 7shists

These punches will likely cause issues that may block payroll. To fix it, choose to:

  • Select the correct role. Only the employee's assigned roles will appear.
  • If the correct role doesn’t appear: add the role to the employee’s Role Assignments, then return to the Warnings tab to assign it to the punch.

How updates outside the Warnings tab work

You can also fix issues by updating mapping, roles, or time punches in other parts of 7shifts. The Warnings tab regenerates the list of warnings automatically as data changes. It may require a page refresh to show updated results. Examples that may resolve warnings:

  • Editing a time punch directly

  • Updating employee mappings under Integrations > Mapping

  • Adding a missing role to an employee’s profile

  • Fixing POS labor at the source

Some corrective actions only make new options available (like adding a missing role to an employee), but you still need to choose the correct value on the Warnings tab. See the FAQs below.


FAQs

Will updating a previous schedule fix missing-role warnings?

No. With regard to reasoning, "Punch on POS does not have a role assigned or a scheduled shift", past schedule edits do not update existing punches. You must assign the role in Warnings or in Time Clocking.

If I update a user’s role assignments, will warnings clear automatically?

Not automatically. After adding a new role to the employee, return to the Warnings tab and assign the new role to any affected punches.

Do ignored users or roles show warnings?

No. Ignored users and roles do not appear in the Warnings tab. If someone was ignored by mistake:

  • Unignore them in Integrations > Mapping

  • Re-map if needed

  • Wait for an automatic labor backfill to elapse

  • Return to the Warnings tab to resolve punch-level issues
