How to Map Employee Roles Between ADP and 7shifts

When connecting your 7shifts account with ADP, one of the most important setup steps is mapping your 7shifts Roles to your ADP Department Codes. This mapping ensures that payroll and labor cost data flow correctly between the two systems.

Key points

Automatic vs Manual Mapping 

If the spelling, capitalization, and spacing of a 7shifts Role matches an ADP Department exactly, it will be matched automatically. Any mismatches will need to be reviewed and connected manually.

Although the system allows you to map multiple 7shifts roles to a single payroll Department, we strongly recommend maintaining a one-to-one match (one 7shifts role to one payroll Role/Department). This ensures the most accurate data transfer.


Ignored Roles 

Some Roles or Departments may appear as Ignored. This means their data will not sync to ADP. Common reasons to keep a Role ignored: 

  • It’s no longer in use.
  • It’s a salaried/manager Role not tracked for payroll.
  • It’s for contractors. 

If a Role that’s actively used is marked ignored, you can move it back into the unmatched list and map it (see video for steps).


Troubleshooting Checklist

If you can’t find a match: 

  • Missing ADP Department? Make sure it exists in ADP. New departments can take up to 24 hours to sync into 7shifts.

  • Missing 7shifts Role? Check the Role is created in 7shifts and not already matched elsewhere.

  • Incorrectly matched Role? You can unmatch and re-map it at any time (see video).
