Why Don't My Manual Sales Imports Match My Reports?

Issue

After using the manual sales importer to upload an .xlsx file, the sales data shown in the Labor Budget Tool or Actuals Report is incorrect and doesn't match the numbers from my original file.

What To Do

⚠️ You must have Admin access to import sales data.

This can be caused by timestamps on sales not being within a 5:00 AM am to 5:00 AM daily window. To resolve this, you’ll need to adjust the timestamps in your sales file for any transactions that happen between 12:00 AM and 5:00 AM.

The discrepancy occurs because 7shifts calculates a 'sales day' from 5:00 AM to 5:00 AM, not from midnight to midnight. As a result, any sales you record between 12:00 AM and 4:59 AM are automatically credited to the previous day's sales total.

Follow these steps to ensure your sales are reported on the correct day:

  1. Before uploading, open your .XLSX sales data file.
  2. Locate any sales entries with a timestamp between 12:00 AM and 4:59 AM.
  3. Change the time for these entries to 5:00 AM or later. This ensures the sale is included in the current day's totals.
  4. Once you've adjusted all necessary timestamps, save the file.
  5. Log in to your 7shifts account as an Admin.
  6. In the left navigation bar, go to Schedule, then click the Tools icon.
  7. Select Import Sales and upload your corrected file.

Your sales figures in the Labor Budget Tool and other reports will now align with your uploaded data.
