Set Up and View Shift Trading

Shift Trading is automatically accessible for 7shifts accounts using the Shift Pool functionality and allows Employees to swap shifts easily with one another. Depending on your account's settings, Admins and Managers can review and approve these trades before they are finalized.

Continue reading to see how the Shift Trading process works for Admins and Managers.

Prerequisites:

⚠️ Managers/Assistant Managers require permission: Can approve/decline shift pool requests.


Enable Trade Requests 

  1. Log in as an Admin on the web app.

  2. In the left navigation bar, head to Settings (or hover over your profile icon) > Company Settings > Shift Pool.

  3. Checkmark the Shift Pool settings > click Save.

  4. (optional)Select Require Approval to ensure that all Shift Trading requests require approval from an Admin, Manager or Assistant Manager.  If enabled, Managers and Assistant Managers will be able to approve trades they have the following Manager Permissions: Can manage schedules, can approve/decline shift pool requests.

    ⚠️ If the Require Approval setting is NOT enabled for the account, Shift Trades and Schedule changes will happen immediately after the other Employee accepts the trade offer.
  5. Enable your notifications to receive Shift Pool requests under Settings My Account > Notifications:

Approve/Decline Trade Requests

⚠️ Managers without the 'Can manage schedules' permission, but have the 'Can approve/decline shift pool requests' permission can only approve/deny requests for Employee and Assistant Manager user types.
(Assistant Managers can only approve requests for Employees).

⚠️ Admins or Managers/Assistant Managers with the 'Can manage schedules' permission will be able to process these requests for themselves, other Managers/Assistant Managers, and Employees. 
(Assistant Managers with this permission can only approve requests for themselves or Employees).


For accounts that require Manager approval, an email or SMS/push notification will be sent when two Employees have requested to trade shifts.

Use the tabs to change your viewing preferences through the mobile or web app:

  1. To see the request go to your notifications or the bottom right menu > Shift Pool > Requests:

  2. Under Requests, tap on the request to see the trade details.

  3. Toggle between different Locations by tapping on the Location filter icon:



  4. If the trade would result in any scheduling conflicts, overtime, or labor infractions, you can view the warnings here:

  5. From here, you can tap Accept Trade to approve or Decline Trade to deny the request:

  6. Tap Approve Trade again to confirm.

  7. Once the trade has been approved by an Admin or Manager, an email or SMS/push notification will be sent individually to both Employees and their schedules will reflect the changes. If the trade was declined, both employees will receive an email or SMS/push notification and their schedules will remain unchanged.

     ⚠️ Shift Trade requests will be automatically cancelled and disappear from the pending trades queue if:
    • The schedule is republished with changes to either of the Employees' original shifts
    • One of the scheduled shifts starts, after which the shift trade request will have expired
