How to Correct Statutory Holiday Pay for Overnight Shifts Spanning Two Days

Issue

When an employee’s shift starts on one day and continues past midnight into a statutory holiday (e.g., a shift starting May 18 and ending May 19, Victoria Day), all hours are currently recorded under the start date only. This means hours worked on the holiday are not automatically separated for statutory pay purposes.

What To Do 

To ensure employees receive appropriate Statutory Holiday pay for shifts that cross into a statutory holiday, you will need to manually separate the hours worked on the previous day from the hours worked on the statutory holiday. This involves editing the original time punch and adding a new manual punch for the hours on the holiday.

Prerequisites

⚠️ This applies only when a shift starts before 12:00 AM on the statutory holiday.

⚠️ Edit POS Time Punches in 7shifts must be enabled.

⚠️ Managers/Assistant Managers require permissions to access Time Clocking.

Follow these steps to split the punch:

  1. Log in to the web app as an Admin or Manager/Assistant Manager with permissions.
  2. In the left navigation bar, select Time Clocking.
  3. Locate and edit the original punch (before the Holiday):
    • Navigate to the pay period that includes the day the shift began (e.g., June 30th for a shift ending July 1st).
    • Locate the individual time punch for the employee whose shift spanned into the statutory holiday.
    • Edit the end time of this time punch to 12:00 AM (midnight) of the statutory holiday. This ensures the hours up to midnight are attributed to the previous day.
    • Save the changes.
  4. Add a new punch (on the Holiday):
    • Navigate to the next pay period which includes the statutory holiday (e.g., July 1st).
    • Add a punch for the employee.
    • Set the start time of this manual punch to 12:00 AM (midnight) on the statutory holiday.
    • Set the end time of this manual punch to the actual end time of the employee's shift on the statutory holiday.
    • Ensure the appropriate Role and Location are selected for this manual punch.
    • Save the manual punch.
