Export Employees

Before making changes to your 7shifts account or performing data audits, you can export your employee data to a CSV file to retain historical records and manage staff information. The Employee Export provides details for both active and inactive employees, including contact information, assignments, and IDs.

Things to know

  • Managers and Assistant Managers can only export data for employees assigned to their same Locations. 
  • The Wage and Pay type columns are only visible to Managers/Assistant Mangers with the Can view wages permission. 
  • Even with the Can view wages permission, Admins/Managers/Assistant Managers cannot view wages for users with a higher or equal user type. The Account Owner will be the only user able to see all Admin wages.
  • The export is ordered alphabetically by First name.
  • Users with multiple assignments (different locations, departments, or roles) will appear in multiple rows in the export—one row for each distinct assignment.

Important: To export from the Employees page, Managers must have the Can edit employees permission enabled. To export from the Reports section, Managers require both Can edit employees and Can run reports permissions.


Export all employees

Use this method to download a complete list of all active and inactive employees on the account without applying filters.

  1. Log in to the 7shifts web app.
  2. In the left navigation bar, select Team > Employees.
  3. Click Bulk actions.
  4. Select Export employees (CSV) from the dropdown menu.

  5. The CSV file will download to your local device.

Export employees with filters

Use this method to generate a specific list of employees based on locations, departments, roles, user status, or user type.

  1. Log in to the 7shifts web app.
  2. In the left navigation bar, select Reports > Employee Export.
  3. Select the desired filters for Locations, Departments, Roles, User status, and User type.
  4. Click Get report.
  5. The CSV file will download to your local device.

The CSV export contains the following information for each employee:

  • First name
  • Last name
  • Email
  • Mobile phone
  • Locations
  • Departments
  • Roles
  • Wage
  • Pay type 
  • User type
  • Hire date
  • Termination date 
  • Birthdate 
  • Employee ID
  • Punch ID
  • User status
