How the clock-in reminder for Employee Training works

In some jurisdictions, including California and New York, training time must be recorded as paid work. The clock-in reminder in 7shifts prompts employees to confirm they're clocked in before they open training material on web or mobile, which helps you catch training time that would otherwise go unrecorded. Check your local labor rules to confirm what applies to your restaurant.

When the clock-in reminder is enabled, employees can't open training material until they respond to the prompt.

Things to know


⚠️ Important: Only Admins can manage the 'Remind employees to clock in before training' setting in their Labor & Compliance settings. 

  • The clock-in reminder is turned on automatically for accounts that have California or New York set as their labor jurisdiction in Labor & Compliance. 
  • When enabled, the prompt appears for every user type who opens their training on web and mobile, including Admins and Managers.
  • Employee Training may require an upgrade to your current plan.
  • There's currently no in-product reporting for clock-in confirmations.

How to manage the clock-in reminder for Training


  1. Go to Settings > Company Settings > Labor & Compliance.
  2. Scroll to the Training section.
  3. Select the Remind employees to clock in before training checkbox.

  4. Select Save.

Note: Admins can also reach this setting from the Training page. Select Settings, then select Go to compliance settings.

What employees see when the clock-in reminder is on


⚠️ Important: Selecting I'm clocked in does not clock an employee in. Employees still need to clock in as usual.

The prompt appears as soon as an employee opens their Training on web or mobile, and it also appears when an employee opens the Resource Library. The prompt is titled Are you clocked in? and reads "Your employer has required training to be done during work hours. Please confirm that you are currently clocked in."

The Are you clocked in prompt with the I'm clocked in and Cancel buttons.

An employee who selects I'm clocked in closes the prompt and goes straight into the training material. An employee who selects Cancel returns to the previous screen, and the training material stays closed.

An employee who isn't clocked in yet should clock in, reopen Training, and then select I'm clocked in. An employee who can't clock in, or who has questions about the clock-in reminder, should contact their Manager for help.

How long a clock-in confirmation lasts


Each confirmation lasts one hour. 7shifts remembers the confirmation for that hour, so an employee who leaves training and comes back doesn't see the prompt again. The hour only resets when it runs out. Leaving the training material doesn't reset the hour.

  • An employee who confirms at 2:00 PM stays confirmed until 3:00 PM.
  • An employee who leaves training at 2:05 PM and returns at 2:15 PM goes straight into the training material.

Once the clock-in reminder is on, assign training to your team and check who has finished. Admins and Managers can see completion status for every employee from Training.
