Understanding TPA access status in 7shifts Payroll
If your business is in a state that requires Third-Party Administrator (TPA) access for tax filing, 7shifts now shows your access status directly in the payroll product. This helps you catch a missing or lost authorization before it blocks a quarterly filing.
Things to know
⚠️ Important: 7shifts Payroll Admins should grant TPA access proactively if your state requires it, since gaps can delay your next quarterly filing and result in penalty notices.
- 7shifts can't currently confirm in-app whether your TPA access was granted successfully. Completing the checklist step or selecting Mark as resolved records that you took action, but it doesn't verify the state has processed it.
- If you don't complete TPA access during onboarding, the warning banner in your Payroll overview won't appear until Check Technologies detects an actual filing problem.
- Only states that currently require TPA for filing show these prompts: Colorado, Delaware, Hawaii, Kentucky, Michigan, Minnesota, New Mexico, Pennsylvania, Vermont, and West Virginia. Other states may still require TPA access for other purposes, even without an in-product prompt.
Where you'll see TPA status
7shifts surfaces TPA status in three places, depending on where you are in the payroll setup and filing cycle.
Onboarding checklist
New companies in a TPA-required state see a Grant state tax filing access (TPA) task in their setup checklist. Selecting it provides a link to state-specific instructions and a checkbox to confirm you've completed the steps.
You can also select I will grant access later, which skips the task for now.
Business settings
Every company in a TPA-required state for tax filing has a Third Party Administrator (TPA) access section under Payroll > Business settings > Payroll tax settings. A Needs attention pill appears here if Check Technologies, our payroll processing partner, has flagged a problem with your access.
Payroll overview banner
If a quarterly filing is actually blocked because of a TPA issue, a yellow banner appears on your Payroll overview page. Select Review instructions to access a link to state-specific instructions, or Mark as resolved once you've completed the fix.
What triggers the Needs attention status
Check Technologies flags your TPA access when it can't confirm the state portal permissions it needs to file taxes on your behalf. This can happen if access was never granted, if it expired, or if the state removed it.
