Understanding TPA access status in 7shifts Payroll
If your state requires Third-Party Administrator (TPA) access for tax filing, 7shifts Payroll shows your TPA access status in the product. Check it before each quarterly filing so a missing authorization doesn't block your filing.
Things to know
⚠️ Important: Grant TPA access before your next quarterly filing deadline if your state requires it. Gaps can delay your filing and result in penalty notices.
- 7shifts can't confirm in the app that the state has processed your TPA access. Completing the checklist step or selecting Mark as resolved records that you took action, but it doesn't verify the state has processed it.
- If you skip TPA access during onboarding, the warning banner on your Payroll overview won't appear until Check Technologies detects an actual filing problem.
- Only Colorado, Delaware, Hawaii, Kentucky, Michigan, Minnesota, New Mexico, Pennsylvania, Vermont, and West Virginia show TPA prompts for filing. Other states may still require TPA access for other purposes, even without an in-app prompt.
Where you'll see TPA status
7shifts shows TPA status in three places, depending on where you are in the payroll setup and filing cycle.
Onboarding checklist
New companies in a TPA-required state see a Grant state tax filing access (TPA) task in their setup checklist. Select that task to open a link to state-specific instructions, then check the box to confirm you've completed the steps.
If you aren't ready yet, select I will grant access later to skip the task for now.
Business settings
Every company in a TPA-required state has a Third Party Administrator (TPA) access section under Payroll > Business settings > Payroll tax settings. A Needs attention pill appears in that section if Check Technologies, our payroll processing partner, has flagged a problem with your TPA access.
Payroll overview banner
The yellow banner on your Payroll overview page appears only when a quarterly filing is blocked because of a TPA issue. Select Review instructions for the state-specific steps and select Mark as resolved after you've granted TPA access.
What triggers the 'TPA access hasn't been granted banner'
Check Technologies flags your TPA access when it can't confirm the state portal permissions it needs to file taxes on your behalf. This happens if access was never granted, if it expired, or if the state removed it.
How refiling works after you grant TPA access
Granting TPA access alone doesn't restart a blocked filing. To get your filing retried, complete both of these steps:
- Grant TPA access to Check Technologies in your state's portal.
- In 7shifts, select Mark as resolved on the Payroll overview banner.
After you select Mark as resolved, Check automatically queues the filing for refile. The filing status goes into a pending state and Check refiles it during its regular processing.
What happens if I select Mark as resolved too early?
Selecting Mark as resolved before the state has processed your TPA access doesn't fix the problem. The filing fails again and the banner returns. Grant TPA access first, then select Mark as resolved.
Next steps
- Select Review instructions from either the Payroll overview banner or Business settings. This opens the state-specific guide for granting Check Technologies TPA access.
- Complete the steps in your state's portal. Steps vary by state. Find yours in 7shifts Payroll: Third Party Administrator Access (TPA).
- Return to 7shifts and select Mark as resolved on the banner. Check refiles your filing automatically from there.
