ADP WFN role mapping issue: Multiple locations within same 7shifts account

If you have multiple locations in the same 7shifts account, you may run into a role mapping issue when connecting 7shifts roles to ADP Workforce Now (WFN) cost numbers. When a cost number in ADP includes a Description (also called a shortName), ADP sends only that description to 7shifts - not the unique code value. This means multiple locations can appear with the same label, making it impossible to tell them apart on the mapping page.

For example, if several locations each have a Server cost number with "Server" in the Description field, all of them appear on the 7shifts mapping page as Server - with no way to distinguish which belongs to which location.

Remove the Description from your ADP cost numbers


The fix is to remove the Description value from each affected cost number in your ADP WFN settings. When no Description is present, ADP sends only the code value to 7shifts, which is unique per location and maps correctly.

Here's the difference between a cost number that maps correctly and one that doesn't:

Maps correctly (no Description):

Causes mapping issues (Description present):

"valueDescription": "EUG011-SRV - Server",

To remove the Description, go to this location in ADP WFN:

Setup > Tools > Validation Tables > Cost Number

Find each cost number that has a Description filled in and clear that field. Once the Description is removed, 7shifts will pull the code value instead, and your roles will map correctly across all locations.

Issue Unresolved


If you can't access the Cost Number settings in ADP WFN, or need help making the changes, contact your ADP Service Team or ADP Rep directly. They can update the Description fields on your behalf.
