How to add and manage resources in the Employee Training Resource Library

The Training Resource Library is where you store and share training materials — employee handbooks, menu PDFs, training videos, and any reference content you want your team to access on demand. Resources are available to employees directly through the 7shifts mobile app.

⚠️ Note: 7shifts Training is currently in Closed Beta. Features and functionality may change as we continue to gather feedback.

Things to know


Important: Managers and Assistant Managers require the permission "Can manage training" to create and manage content and "Can view training" to view courses, approve tasks, and access training reporting.

  • The Resource Library is built and managed on the 7shifts web app.
  • Employees access shared resources through the 7shifts mobile app. Resources are currently view-only within the app and cannot be downloaded by employees to their devices.
  • Supported file formats: .png, .jpg, .gif, .mp4, .mov, .pdf, .docx, .pptx, .xlsx (max 500 MB per file).
  • Resources can be added as a file upload or a URL — no file required.

Add a resource


  1. Log in to the web app as an Admin or Manager with permissions. 
  2. Navigate to Training > Resource Library. 
  3. Click + Add Resource. 
  4. Choose how to add your resource:
    • File upload — Select Choose File and upload from your device.
    • URL — Paste a link to any external resource.
  5. Give the resource a name and an optional description so your team knows what it covers.
  6. Select Save.

Share a resource 


Resources are private by default. Share a resource to make it visible to employees in the 7shifts mobile app.

  1. In the Resource Library, locate the resource you want to share.
  2. Select the three-dot menu (⋮) on the resource row.
  3. Select Share.
  4. In the Share Resource modal, search for and select the locations, departments, or roles you want to share the resource with.
  5. Click Share.

Find and manage resources


Once added, resources appear in your library with their name, type, sharing status, and the date they were last updated. Search by name or filter by type to find a specific resource. Use the three-dot menu (⋮) on any resource to share, edit, or delete it.

Next steps


After sharing a resource, employees assigned to the selected locations, departments, or roles can access the resource directly from Training > Resource Library in 7shifts mobile app.
