Manager Log Book

The Manager Log Book is a secure communication tool exclusively available to Admins, Managers, and Assistant Managers. It operates like a shared diary or journal, and serves as a written record to help your management team track business operations (i.e., performance reviews, challenges, achievements, future plans and other relevant information).

Prerequisites

⚠️ Managers and Assistant Managers can only access the Manager Log Book and receive email summaries for the Locations they are assigned to.

⚠️ Admins can create and manage categories on the web app. If you think you need additional categories, please reach out to your Admin.

⚠️ Employees do not have access to the Manager Log Book.

Add an Entry

Use the tabs to change your viewing preferences through the mobile or web app.

  1. Log in to the mobile app > tap the clipboard icon on the bottom menu bar: 



  2. Scroll through to the categories within the Manager Log Book and the entries for the day:

  3. Tap into a category to expand its details:

  4. Add an entry by tapping on Create new entry (or, tap the '+' sign at the top right):



    Drafts of your entries cannot be saved. Ensure you post your message before leaving the Manager Log Book page.

Delete an Entry

Use the tabs to change your viewing preferences through the mobile or web app:

    1. Login to the mobile app, tap the clipboard icon on the bottom menu bar.

    2. Find the entry you would like to remove and tap and hold on the message > select Delete.

      ⚠️ Please note:
      • Employee Performance Log posts are permanent and cannot be deleted.
      • Admins can delete any Log Book entry posted by any user, on any date (past, present or future).
      • Admin users are the only ones with the ability to delete log book posts from past dates. 
      • Managers and Assistant Managers can delete their own posts by default but need the "Can delete logbook posts" permission to remove posts by other users. 
      • Even with the 'Can delete logbook posts' permission, Managers or Assistant Managers can only remove posts made by users with a lower level in the hierarchy (e.g., a Manager can delete an Assistant Manager's post, but not vice versa or with Admins).

Send the Log Book Summary

You can send out an email summary at the end of the day which will go to all Admins, Managers, and Assistant Managers assigned to the Location. 

Your daily summary can be manually emailed or you can choose a time for it to automatically send each evening. If using the automatic option, the time the summary is sent needs to be set up for each Location separately.

⚠️ Please be aware that the summary email will not automatically be sent under certain conditions.
  • Incomplete required categories. If there are required categories within the Log Book that have not been filled out, the summary email will not be sent.
  • No entries for the day. If there are no entries recorded, or they are left blank, the summary email will not be sent.
  • Time Settings:
    • If the time is set to 12 am - 6 am, it will auto-send the previous day's Log Book entries.
    • If the time is set to 7 am - 11 pm, it will auto-send the current day's Log Book entries, instead of the previous day's entries.
  • Manual email sending preferences: If a user changes the 'Auto-send Daily' option to the 'Manually Send Email' option, then clicks 'Save', this action will make the manual option the new preference for this Location. As a result, the summary email will no longer be sent automatically. To restore automatic sending, simply re-select the 'Auto-send Daily' option again and the set time for the Location.

To send the day-end Logbook summary, tap the Send icon at the top right of your screen:

Additional Categories

Search Post History

You can view previous posts easily by using the Log Book's search tool.

  1. Log in to the web app > head to Log Book > Search.
  2.  
  3. Use of the filtering options to narrow down your search. Your results will automatically load as you make changes:

  5. Review your Employee Performance Logs results. Results only include logs entered in the Manager Log Book, and not those that are entered in the employee's profile.

    ⚠️ Access to the Employee Performance Insights and Performance Log may require an upgrade from your existing plan.


Employee Performance in the Manager Log Book

Performance Log notes entered from the Manager Log Book will also add the entry to the Employee's user profile.

Actuals Widget

With an active POS integration or 7punches for time clocking, you will see a dashboard of each Location's performance.

⚠️Only Managers/Assistant Managers with the 'Can manage schedules' permission will be able to view this Dashboard/Widget within the Manager Log Book.

The following will be displayed above your custom categories:
  • Total Sales - Daily Actual Sales will be pulled from your POS.
  • Total Labor - Labor costs will be pulled in for those using 7punches, or who have an Actual Labor integration with a POS. 
  • Labor % - The actual labor % is calculated by taking your actual labor costs / actual sales.
  • Weather - You'll need to have your city entered under your Location settings to see this.
  • Average Shift Score - If you are using Shift Feedback, you will see the average score for the day here. Click on 'View Shift Feedback' to see all Employee ratings and comments.
