Uploading actual sales data manually in 7shifts

If your location isn't connected to a supported POS system, you can use the manaual sales importer to add your actual sales data to 7shifts. Uploaded data appears on your Dashboard and in the Labor Budget Tool, where it contributes to sales projections for future scheduling.

Things To Know


Important: Managers and Assistant Managers need both the "Can manage schedules" and "Can manage sales projections" permissions to access the sales data upload tool. Admins can upload sales data without additional permissions.

  • Historical sales can only be uploaded for the past 18 months.
  • This tool is only available for locations that aren't connected to a POS integration. See the list of available POS integrations to check whether your POS connects with 7shifts.
  • Errors may occur if you use third-party document converters to format your sales data. To avoid issues, copy your original data into a new .xls or .csv file instead.

Preparing your POS sales data for upload


Important: The manual sales importer may time out when uploading data that spans a large date range. Upload your sales data in chunks of two months or less to avoid this.

Each POS system exports data differently. Before uploading, make sure your file meets these requirements:

  • Use Net Sales, not Gross Sales (exclude taxes and tips).
  • Include data as individual receipts (preferred) or in 15-minute to 1-hour increments. A single daily sales total won't work correctly for projections and isn't recommended.
  • Every receipt or increment must include a Date and Time. Check how your POS formats these fields — you may need to reformat them to match the 7shifts importer templates.

Uploading actual sales data to 7shifts


  1. Log into the web app.
  2. In the left navigation bar, go to Schedule.
  3. Click the Tools icon, then select Import Sales:


     
  4. Click Download Template to get the required file format:

  5. Fill in the template with your POS sales data using one of the two accepted formats:

    Format 1: Date & Time / Sales (2 columns)

    • Date & Time: YYYY-MM-DD HH:MM
    • Sales: $00.00



    Format 2: Date / Time / Sales (3 columns)

    • Date: YYYY-MM-DD
    • Time: HH:MM AM/PM
    • Sales: $00.00


     

    Tip: To reformat date or time fields in your spreadsheet app, use these steps: In Excel, right-click the cell and select Format Cells > Number > Custom. In Numbers, go to Format > Cell > Data Format. In Google Sheets, go to Format > Number > More Formats > More date and time formats.






     

  6. Once your template is ready, click Choose File to upload it:

  7. Choose from the following options:

    • Format: Select Individual receipts or Hourly sales. Individual receipts give you more accurate projections.
    • Location: Choose the specific location these sales are for.
    • Time zone: Confirm this matches the location selected above.

  8. Click Upload File.

    Important: Uploading sales data in 7shifts will replace any existing sales data for the dates included in your file.

  9. If the file contains errors, 7shifts will display a warning describing each issue. Correct the errors in your file, re-save it, and upload again:

Once uploaded, your actual sales data appears on the Dashboard and in the Labor Budget Tool. 7shifts uses this data to automatically build sales projections for future scheduling.
