What happens when an employee offers up a shift?
The 7shifts Shift Pool is how employees offer up scheduled shifts for coworkers to claim. When a shift is offered up, 7shifts notifies eligible coworkers and managers, a coworker bids, and a Manager approves the swap.
Things to know
- The shift belongs to the original employee until a Manager approves someone else's bid.
- If a Manager edits the date or time of a shift that's in the Shift Pool and publishes the schedule, the shift is automatically removed from the pool. The original employee gets an in-app notification and can offer the shift up again if they still need coverage:
- All employees, Managers, and Admins can choose how they receive notifications by going to Settings > My Account > Notifications in 7shifts.
How the Shift Pool works
Let's say, Sam is scheduled for a hosting shift in the Front of House (FOH) Department on Friday and needs someone to cover it.
Step 1: Employee offers up the shift
Sam clicks Offer Up under her Friday shift and offers it to all Hosts.
7shifts sends the following notifications:
- Employees: All Hosts immediately receive an email and mobile notification that Sam's shift is available.
- Managers: Managers receive an email notification only if they appear on the FOH Department schedule and are assigned the Host role. If there are no Departments configured, the notification goes to all Managers assigned to the location and the Host role.
- Admins: Admins receive the notification only if they appear as an employee and are assigned to the FOH Department and Host role. Admins who don't appear as an employee don't receive this notification.
Step 2: Coworker bids on the shift
Erin, Sam's coworker, goes to the Shift Pool, selects Sam's shift, and clicks Bid on Shift.
7shifts sends the following notifications:
- Employees: No notifications go out to employees at this step.
- Managers: All FOH Managers receive an email notification that Erin wants to take Sam's shift.
- Admins: Admins who appear as an employee receive the notification only if they're assigned to the FOH Department. Admins who don't appear as an employee receive notifications for bid requests across all Departments.
Step 3: Manager approves the swap
A Manager reviews the bid and approves the shift to be reassigned to Erin.
7shifts sends the following notifications:
- Employees: Both Erin and Sam receive a mobile and email notification that the shift change was approved.
